Hays are delighted to be supporting a respected organisation in the Highlands with the recruitment of a temporary Executive Assistant to join their team on an initial 3-month assignment, which may have the potential to extend. This is an excellent opportunity for an experienced Executive Assistant or senior administrator to provide essential support to senior leaders within a fast-paced and professional environment. Working on a hybrid basis from Inverness, you will join a busy and collaborative team, playing a key role in ensuring the smooth coordination of executive and governance activities during a particularly busy period.

Your new role

As Executive Assistant, you will provide comprehensive administrative and organisational support to senior stakeholders and the wider Executive Office function. You will be responsible for managing complex diaries, coordinating meetings and ensuring the effective handling of correspondence and enquiries. Your ability to anticipate priorities, manage competing demands and maintain confidentiality will be essential to success in the role. You will support the coordination of briefing materials, agendas and meeting documentation for senior leadership meetings, boards and committees, ensuring that information is prepared accurately and distributed within agreed timescales. The role will also involve monitoring shared and executive mailboxes, tracking actions and deadlines, maintaining records and supporting governance-related administration.

Acting as a professional point of contact on behalf of the Executive Office, you will work closely with internal stakeholders to ensure the smooth delivery of executive support services whilst helping to maintain continuity during a period of increased workload.

What you'll need to succeed

To be successful in this role, you will have previous experience providing high-level executive, senior leadership or governance support within a complex organisation. You will demonstrate exceptional diary management, meeting coordination and administrative skills, alongside experience managing busy inboxes and handling confidential information with discretion. You will possess strong organisational skills with the ability to prioritise multiple tasks and deadlines effectively. Experience supporting boards, committees, leadership teams or governance functions would be highly advantageous. You will be a confident communicator with excellent attention to detail and strong working knowledge of Microsoft 365 applications, including Outlook, Teams, Word, Excel and SharePoint. Candidates with previous experience within the public sector or similarly regulated environments will be particularly well suited to this opportunity. Ideally, you will live within a commutable distance to Inverness as this role will involve hybrid working in the office. You will also be required to go through a Disclosure Scotland application.
