The Role
Russell-Cooke's charity and not-for-profit team is looking for an Executive Assistant to join our well-regarded, collaborative and friendly team. This is an opportunity to play an integral role in a leading charity law practice, working closely with expert lawyers and clients at the forefront of the charity and not-for-profit sector.
The role will be based in the firm’s Putney office with the option for hybrid working in line with the firm’s policy (currently a minimum of 60% office attendance). You will work alongside the team’s two existing Executive Assistants to provide high-quality executive, administrative and operational support to partners and solicitors. Joining an experienced and supportive EA team, this is an excellent opportunity to develop your skills within a collaborative environment.
Our Executive Assistants play a key role in ensuring the smooth delivery of our legal services by managing client onboarding, billing and matter administration, regulatory filings, diary and practice management, team marketing and business development activities, and day-to-day operational support. As a trusted member of our team, you will help support a diverse range of clients on matters that make a tangible difference to society.
The role requires exceptional organisational skills, attention to detail, initiative and the ability to manage competing priorities in a busy and client-focused environment.

Technical Skills And Expertise
- Previous experience of working as an Executive Assistant or similar, ideally within the legal sector.
- Proficient in the use of Microsoft Office, specifically Outlook, Word, Excel and PowerPoint.
- Good attention to detail with the ability to proof read communications.
- Good interpersonal and communications skills.
- Strong organisational and time management skills.
Job Description
Duties include but are not limited to:
- The role is key to supporting the team in providing exceptional service and experience to clients and prospective clients. The work is varied and includes:
- Managing diaries, including meeting arrangements, travel bookings and event coordination.
- Organising internal and external meetings, lunches and client events.
- Handling telephone enquiries, including new client enquiries and calls on behalf of team members.
- Supporting the team to comply with firm policies, processes and systems, including in relation to client onboarding and due diligence.
- Helping to ensure fee earner compliance with relevant risk management requirements, including conflict checks and anti-money laundering checks.
- Coordinating with the firm’s other departments where needed, including finance, facilities and IT.
- Preparing, formatting and amending legal documents and correspondence.
- Producing engrossments and arranging electronic execution of documents using DocuSign.
- Assisting the team with billing processes, including preparing bills, addressing billing queries and helping the team with credit control.
