We are seeking an exceptional Executive Assistant to provide trusted, proactive and highly organised support to the SVP, Global Partnerships and the SVP, Rights and Commercial Development, EMEA.

This is a high-impact role at the centre of a fast-paced, commercially focused environment. The successful candidate will manage complex executive priorities, anticipate needs, protect confidentiality and ensure both leaders are able to operate effectively across internal teams, business partners and senior stakeholders.

The role requires excellent judgement, calmness under pressure and the ability to build strong relationships at all levels. You will be comfortable moving between strategic priorities and detailed execution, while maintaining a high standard of accuracy, discretion and professionalism.

Key Responsibilities And Accountabilities

Executive support and prioritisation

  • Manage complex, often competing calendars across multiple time zones, ensuring the executives’ time is aligned to strategic priorities.
  • Act as a trusted gatekeeper and first point of contact, using sound judgement to assess urgency, relevance and appropriate access.
  • Prepare daily and weekly schedules, briefing materials, meeting packs and concise summaries to support effective decision-making.
  • Anticipate upcoming requirements, identify conflicts and proactively resolve issues before they affect the executives or wider team.
  • Coordinate preparation for leadership meetings, business reviews, partner meetings, conferences and other high-profile engagements.
  • Track actions, decisions and follow-ups to ensure commitments are completed on time.

Meeting and stakeholder coordination

  • Organise internal and external meetings involving senior leaders, clients, rights holders, partners, agencies and other commercial stakeholders.
  • Coordinate agendas, attendees, pre-reads, presentations, room requirements, technology and follow-up communications.
  • Build constructive relationships with executive assistants and stakeholders across the organisation and with external partners.
  • Support the executives’ participation in key events, including preparation of itineraries, contact schedules and on-the-ground logistics.
  • Ensure the right people have the right information at the right time, while maintaining appropriate confidentiality.

Travel and event management

  • Arrange complex domestic and international travel, including flights, accommodation, transfers, visas and detailed itineraries.
  • Manage changes, cancellations and last-minute requirements efficiently and with minimal disruption.
  • Coordinate travel and schedules around major sporting, entertainment, commercial and corporate events.
  • Maintain accurate travel preferences, key contacts and relevant logistical information.
  • Process expenses and support invoice management and reconciliation in line with company policy.

Business administration and information management

  • Draft, format and proofread correspondence, presentations, briefing notes and other executive materials.
  • Maintain orderly, accessible and appropriately secure electronic and physical filing systems.
  • Handle sensitive commercial, financial, contractual, personnel and business information with absolute discretion.
  • Support budget tracking, purchase orders, invoices and other administrative processes as required.
  • Assist with selected projects, presentations, reporting and team initiatives that require executive coordination.
  • Help improve ways of working, templates, routines and processes across the executive support function.

Knowledge And Experience

  • Significant experience supporting one or more senior executives in a complex, international organisation.
  • Experience in a commercial, media, sports, entertainment, partnerships, rights or similarly fast-paced environment is desirable.
  • Proven ability to manage multiple demanding calendars and shifting priorities with excellent attention to detail.
  • Strong experience arranging complex international travel and coordinating high-profile meetings and events.
  • Excellent written and verbal communication skills, with the confidence to engage senior internal and external stakeholders.
  • Highly organised, dependable and solutions-oriented, with a proactive approach to anticipating requirements.
  • Comfortable working independently while collaborating effectively with a broad range of teams and stakeholders.
  • Strong proficiency in Microsoft Office, including Outlook, PowerPoint, Word and Excel; experience with collaboration and travel-management tools is an advantage.
  • Flexibility to work outside standard hours occasionally when business needs or executive schedules require it.

Working Conditions

  • This is a permanent position
  • Working hours are 9:00 – 17:00, Monday to Friday
  • This role will be based at Chiswick Park requiring 4 days in-office and 1 day working from home.
  • Expected to provide support out of usual working hours at times as Executives travel or attend events
  • Adapting to use of new systems and technology where appropriate
