Job Description

Key Responsibilities

  • Manage complex calendars, scheduling, and meeting coordination for leadership stakeholders.
  • Organize and coordinate leadership meetings, governance forums, monthly all-hands meetings, and team events, including agenda preparation, meeting minutes, and action tracking.
  • Create and maintain executive-level PowerPoint presentations, board materials, leadership communications, and meeting packs.
  • Coordinate domestic and international travel arrangements, including flights, hotels, local transportation, and itineraries.
  • Manage Travel & Expense (T&E) claims, reimbursement processes, and related documentation.
  • Ensure timely follow-up on action items, decisions, and stakeholder communications.
  • Assist in process improvement initiatives and automation opportunities to enhance operational efficiency.
  • Collaborate with cross-functional teams to ensure smooth execution of administrative and governance activities.
  • Maintain accurate organization charts, team structures, staff lists, and distribution groups, and announcements regarding new joiners.
  • Manage and maintain the Procurement and Real Estate SharePoint site, document libraries, and team resources.
  • Prepare executive briefings and supporting materials for key meetings and stakeholder engagements.
  • Handle highly confidential business, commercial, and people-related information with discretion and professionalism.

Required Skills & Qualifications

  • Bachelor's degree in Business Administration, Commerce, Management, or related field.
  • 5-10 years of experience in Executive Assistant, PMO Support, Operations Coordination, or Administrative Support roles.
  • Advanced Microsoft PowerPoint skills with the ability to create professional executive presentations; strong proficiency in Outlook, Teams, and Microsoft Office applications.
  • Excellent verbal and written communication skills.
  • Experience in calendar management and executive scheduling.
  • Exposure to Travel & Expense management processes.
  • Experience in organizing governance reviews, leadership meetings, and administrative operations.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.

  • Prior PMO experience supporting leadership or project governance.
  • Exposure to workflow automation and process improvement initiatives.
