Team Background:

  • Supports senior economic consultants (from Senior Economists to Vice Presidents).
  • Team size: 7–10 professionals.

Key Requirements:

  • Proactive, highly organised with keen prioritisation skills.
  • Adaptable to varied workloads and urgent deadlines.
  • Ability to work outside core hours as required (client time zones).

Key Responsibilities

Operational Administrative Support

  • Manage and organise diaries across multiple team members.
  • Handle occasional email management and triage (prioritisation key).
  • Coordinate internal/external meetings (including booking rooms).
  • Process and manage payments for client invoices and expenses.
  • Record and approve time entries.
  • Prepare external/internal correspondence.

Client & Travel Management

  • Organise complex international travel (flights, hotels, schedules).
  • Maintain client files and initial matter setups.
  • Issue contracts and billings for clients.
  • Ensure CRM (Salesforce) up-to-date: track BD activities and client relationships.

Coverage and Flexibility

  • Provide holiday cover for rotates team member roles.
  • Handle everyday ad hoc tasks (post, phones, printing, archiving).

  • Outstanding organisation with high workload prioritisation.
  • Collaborative mindset and strong team player attitudes.
  • Flexible to cover duties of other Admin colleagues.
  • Thrives under time pressure with a disciplined execution style.
  • Impeccable accuracy and attention to detail.
  • Ability to communicate tactfully/class-professionally (written/verbal) at all levels.
  • Sensitivity to confidential information.

Must-Have Qualifications

  • Minimum 4 years administered as Executive Assistant/Team Assistant or equivalent PA role.
  • Technical experience with expense/time management systems (valuable).
  • Working knowledge of client relationships/mangement.
  • Experience with international time zones (essential).

Technical Proficiencies

  • Intermediate/Advanced proficiency in Microsoft Office Suite:
    • Excel (data organisation, modelling).
    • Work/Outlook (scheduling, email).
    • PowerPoint (presentations).
  • Familiarity with PA/secretarial industry certifications (desirable).
