The Portfolio Group Executive Assistant
The Portfolio Group is seeking a highly organized, proactive, and commercially minded Executive Assistant to join our established, global Recruitment business!
This role combines EA duties such as diary management and travel arrangements, supporting our C-Suite team of three, as well as business operations including vendor management and overseeing client terms.
Responsibilities include:
- EA and office management duties such as diary management, travel arrangements, organizing meetings, ordering stationary, and event planning
- Coordinating internal meetings and assisting the marketing team with in-office client events
- Maintaining and improving internal processes and systems
- Assisting the COO with operational projects such as client terms amendments, supplier forms, tenders, and client questionnaires
- Liaising with internal teams and occasionally external clients
- Acting as a key point of contact across the business to ensure everything gets done efficiently and smoothly
- Preparing presentations such as the end-of-quarter business overview

What we are looking for:
- Someone who has worked within a Recruitment environment is ideal
- Experience of client terms amendments, supplier forms, and tenders
- General EA experience, working closely with senior leadership
- Someone who is proactive, positive, organized, able to work independently, and use initiative
- Strong communication skills
- The ability to manage multiple priorities and projects
- Good IT/Office skills
- Discretion and professionalism
- Detail – you’ll be the person who notices the little things and keeps everyone on track!
