Executive Assistant to the Head of Family Office

We are working with one of our trusted partners, a private Family Office with a strong focus on technology investments, to identify a highly professional and reliable Executive Assistant to the Head of the Family Office.

Key Responsibilities

  • Manage the Head's complex calendar, including business meetings, calls, appointments and personal commitments
  • Coordinate and prioritise a constantly changing schedule, ensuring that important deadlines and commitments are not missed
  • Organise domestic and international business and personal travel, including flights, hotels, transfers, itineraries and last-minute changes
  • Manage day-to-day correspondence, emails, messages and follow-ups
  • Arrange meetings, dinners, events, reservations and other professional or personal engagements
  • Provide support during business and personal travel when required
  • Be prepared to handle urgent or time-sensitive requests and react quickly when priorities change

  • Previous experience as an Executive Assistant, Personal Assistant, Private Assistant, or in a similar high-trust role
  • Excellent English, both written and spoken, is essential
  • French or Italian would be highly desirable
  • Highly organised, structured and detail-oriented
  • Naturally proactive and able to anticipate what needs to be done
  • Fast and responsive, with the ability to react calmly and efficiently to urgent requests
  • Excellent listening skills and a strong ability to understand and accurately follow instructions
  • Able to manage multiple priorities without losing attention to detail
  • Comfortable working independently and taking ownership of tasks
  • Strong communication and interpersonal skills
  • Confident using Microsoft Office/Google Workspace
  • Flexible regarding working hours and comfortable with occasional work outside standard business hours, depending on the Executive's schedule and urgent requirements
