As we continue to grow, we are looking for an exceptional Executive Assistant & Agency Coordinator to work alongside our Founder & Managing Director.
This is a unique opportunity to become the organisational heart of a growing business, helping shape the next chapter of Pepper & Seed.
About the Role
This is far more than a traditional PA role.
We’re looking for someone who enjoys bringing order to busy days, solving problems before they arise and ensuring everything runs seamlessly behind the scenes.
Working closely with the Founder, you’ll become a trusted right hand—protecting time, coordinating projects, supporting clients and helping keep the agency moving forward.
You’ll quickly become involved in every aspect of the business, from supporting exciting client campaigns and international travel to coordinating events, proposals and agency operations.
No two days will be the same.
Your Mission
Your mission is simple:
To ensure the Founder can spend as much time as possible doing what she does best—developing client relationships, creating exceptional campaigns and growing Pepper & Seed—while you keep the business running efficiently behind the scenes.

Key Responsibilities
Executive Support
- Managing a complex diary across multiple clients and time zones
- Prioritising meetings and protecting executive time
- Managing correspondence
- Coordinating domestic and international travel and itineraries
- Preparing agendas, briefing notes and meeting papers
- Tracking actions and ensuring follow-up is completed
- Managing expenses and executive administration
- Acting as the first point of contact where appropriate
Agency Coordination
- Helping manage the day-to-day running of the agency
- Coordinating client timelines and project deadlines
- Maintaining project trackers and ensuring nothing falls through the cracks
- Updating client reports and monitoring coverage
- Scheduling internal meetings and managing action plans
- Supporting agency systems and improving internal processes
- Liaising with suppliers and external partners
Client & Business Development Support
- Assisting with proposals, presentations and credentials
- Coordinating new business opportunities and follow-up
- Updating agency case studies and marketing materials
- Supporting award submissions and speaking opportunities
- Maintaining contact databases and CRM systems
- Helping prepare strategic documents and client presentations
Events & Hospitality
- Supporting the delivery of press trips, launches and client events
- Coordinating guest lists, invitations and logistics
- Liaising with venues, suppliers and partners
- Assisting with VIP hosting when required
- Supporting event planning from concept through to delivery
Marketing & Communications
- Supporting the agency’s own communications and social media
- Updating website content and agency collateral
- Coordinating photography, imagery and marketing assets
- Helping identify opportunities to raise the profile of Pepper & Seed

About You
You’ll be someone who thrives in a fast-moving environment and genuinely enjoys making other people more effective. You’ll enjoy variety, love solving problems and take pride in delivering work to an exceptionally high standard. Most importantly, you’ll enjoy becoming an integral part of a growing business.
Skills & Experience
We’re more interested in attitude, initiative and potential than ticking every box. Ideally you’ll have:
- Experience as an Executive Assistant, Personal Assistant, Operations Coordinator or similar role
- Outstanding organisational and planning skills
- Excellent written and verbal communication
- Exceptional attention to detail
- Strong Microsoft Office and Google Workspace skills
- The ability to manage multiple priorities simultaneously
- A calm, professional and positive approach
- Excellent interpersonal skills and confidence dealing with senior stakeholders
Experience within luxury hospitality, travel, communications, events or a creative agency would be an advantage but is not essential.
