Executive Assistant & Office Manager

Location: London (Liverpool Street)
Working Hours: Full-time, Monday-Friday, 9:00am-6:00pm (5 days in the office)

Our client is a high-growth international executive search and leadership advisory firm specialising in the Life Sciences, Biotechnology and Pharmaceutical sectors. Working with some of the world's most innovative organisations, they partner with businesses across the UK, Europe, the US and the Middle East to deliver senior and executive-level talent.

With approximately 80% of the business focused on the US market, this is a fast-paced, entrepreneurial environment where no two days are the same. Due to continued growth, the business is relocating to brand new offices in Tower 42 in the heart of the City of London and is looking for a proactive Executive Assistant & Office Manager to become the right hand to the CEO while supporting the wider team.

The Opportunity

This role combines Executive Assistant, Office Manager and Team Coordinator responsibilities, making it ideal for someone who enjoys variety and thrives in a fast-paced environment. You'll be trusted to keep the CEO organised, support the wider team, help maintain an outstanding office culture and ensure the day-to-day running of the business is seamless.

Key Responsibilities

Executive Support

  • Complex diary and calendar management
  • Coordinate domestic and international travel, accommodation and conference logistics
  • Book client meetings and interviews across UK and US time zones
  • Prepare reports, presentations and meeting materials
  • Process expenses and support finance administration using Xero
  • Assist with payroll administration
  • Act as the first point of contact for administrative matters

Office & Team Support

  • Help create and maintain a positive, energetic office culture
  • Organise company events, team socials and celebrations
  • Coordinate travel arrangements for the wider team
  • Manage onboarding for new employees
  • Support website updates and marketing administration
  • Ensure the office runs efficiently and is well organised
  • Assist with ad hoc operational projects as the business grows

What We're Looking For

  • 2+ years' experience as a Personal Assistant, Team Assistant, Office Manager or Executive Assistant
  • Highly organised with exceptional attention to detail
  • Proactive and able to anticipate what's needed before being asked
  • Confident managing multiple priorities simultaneously
  • Strong communication and interpersonal skills
  • Comfortable using Microsoft Office and Xero (or similar finance software)
  • Happy working in a fast-paced, entrepreneurial environment
  • A genuine team player with a positive, bubbly personality
  • Someone who enjoys being in the office and contributing to company culture

Working Environment

This is a fully office-based position (5 days per week). While core hours are 9:00am-6:00pm, the CEO works extensively with US clients, so you may occasionally need to respond to important emails or coordinate meetings outside standard office hours. We're looking for someone who is naturally responsive and takes pride in delivering excellent support, while recognising that flexibility works both ways.
