We are seeking an Apprentice Executive Assistant to join our team as a result of our rapid growth! Overseeing all admin and compliance duties for the company, including creating and managing timesheets, maintaining the database, sending client contracts, creating and entering new hire compliance checks, and invoicing.
What you'll do at work
- Assisting the team with administration
- Data entry and database management
- Setting up new clients and files
- Taking calls and messages and passing to the appropriate person
- Contacting candidates by telephone
- Making weekly phone calls to clients to offer assistance and confirm that they have received their invoice
- To deal professionally with candidate, clients, colleagues, and other professional agencies on the telephone and in person as required
- Managing new start compliance checklists
- Preparing compliance reports
- Preparing and sending contracts/invoices to our clients
- Timesheet creation and management
- Managing emails and diaries
- To ensure the confidentiality and security of all the company’s and client’s documentation and/or information

What you'll learn
Course contents
Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information, and produce data analysis where required.
Produces accurate records and documents including: emails, letters, files, payments, reports, and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports, and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.

Training schedule
Full training will be given, leading to a recognised Level 3 Apprenticeship Standard as a Business Administrator.
On-the-job training will be delivered by the employer with the training provider's support.
Off-the-job training will be delivered by the training provider in partnership with the employer.
You will also complete the Functional Skills in maths and English up to and including Level 2 (if you do not already hold the equivalent).

Other requirements
Though not required, it would be beneficial if you had any prior office administration or retail/sales experience, or any knowledge of the construction industry. If you have any prior experience, kindly let us know. Our office location is 2 minutes from the station, parking is available but on residential streets nearby as the office is right on the high street.
