About the Role

ETAC is seeking a highly organized and proactive Executive Assistant to support the Director with daily administrative, business, and operational responsibilities.

The successful candidate will help manage schedules, coordinate communications, organize documents, and assist with special projects while maintaining professionalism and confidentiality.

Key Responsibilities

  • Manage the Director’s calendar, appointments, meetings, and travel arrangements.
  • Screen and prioritize emails, phone calls, and correspondence.
  • Prepare, proofread, and organize business documents, reports, presentations, and meeting materials.
  • Coordinate meetings with customers, suppliers, and business partners.
  • Take meeting notes and follow up on action items when required.
  • Maintain organized electronic and physical filing systems.
  • Assist with quotations, proposals, contracts, and other administrative documentation.
  • Coordinate with internal departments to ensure projects and tasks remain on schedule.
  • Track outstanding items and remind the Director of important deadlines and follow-ups.
  • Assist with event planning, customer visits, and company meetings.
  • Conduct internet research and gather information for business development and strategic planning.
  • Handle confidential business information with discretion.
  • Provide general administrative support and perform other duties as assigned.

Requirements

  • Previous experience as an Executive Assistant, Administrative Assistant, or Office Administrator.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Professional, detail-oriented, and self-motivated.
  • Experience working in engineering, manufacturing, or industrial industries is considered an asset.
  • Education or experience in law, legal administration, or as a paralegal is considered an asset but is not required.
  • Mandarin language skills are considered an asset but are not required.

Job Details

  • Type: Full-time, Permanent
  • Salary: Starting at $26.00 per hour, depending on experience.
  • Benefits:

  • Hours: 8 hour shift

Work Location

On site in Burnaby, BC, V5H 4G5
