Executive Assistant & Business Operations Lead (Freelance)

Location: Remote / Virtual
Hours: 20–30 hours per week (flexible around other commitments)
Engagement type: Freelance / self-employed contractor, with potential to move to an employed position as the business grows
Reports to: Founders / Leadership Team
Start date: October 2026
Rate: £28–£40 per hour, depending on experience

The Opportunity

A fast-scaling digital advertising and tech start-up, already building real momentum, is looking for a confident, self-sufficient Executive Assistant with strong project management instincts to join at a pivotal stage of growth. This is far more than a traditional support role: you'll be embedded with a team of three, driving their work streams forward, keeping meetings and decisions on track, and helping to embed the systems and processes needed to support the business through its next phase of scale.

There is genuine scope to grow with the company. As the business expands, so does the opportunity, with a clear pathway toward an executive-level position for the right person.

Key Responsibilities

  • Manage and coordinate the work streams of all team members, proactively chasing progress and deadlines where needed
  • Own diary and meeting management and support across the team
  • Liaise with key stakeholders, attending meetings to take minutes and capture key actions
  • Take ownership of meeting outcomes in a project management capacity, driving actions through to completion rather than just recording them
  • Design and implement light-touch project management systems and processes to support the business through its next phase of scale
  • Manage company expenses and travel arrangements
  • Support with marketing activity and the use of AI tools where relevant

What We're Looking For

  • Prior experience in a similar EA, PA, or business operations/project coordination role
  • A confident self-starter who needs minimal oversight and can bring structure and process to a fast-moving environment
  • Commercially minded, with strong business acumen, comfortable thinking beyond task execution
  • Marketing experience, ideally gained in a digital-first or start-up environment
  • Confident using AI tools day to day to boost productivity and streamline workflows
  • Some exposure to tech development and working in growing commercial environments
  • Excellent stakeholder management and communication skills
  • Comfortable working virtually and managing own time across flexible hours
  • Must be tech savvy
