Job Title

We are seeking a highly professional Executive Assistant to provide support to both the Managing Director and Associate Director: Operations & Client Relations. This role goes far beyond the traditional administrative support; it is central to ensuring that strategic priorities progress, commitments made in meetings are delivered, and projects remain on track across a fast-paced, international environment.

Our London-based clinic provides a premium, personalised approach to primary and concierge healthcare. We deliver a high standard of clinical excellence in a calm and discreet environment, ensuring every patient receives compassionate, tailored care. The clinic is part of a respected US healthcare group and operates as a standalone UK entity with a multidisciplinary team of physicians, nurses, and support professionals.

Duties and responsibilities

As the executives’ right hand, you will play a vital role in coordinating key initiatives, shaping internal and external communications, and supporting the delivery of high-quality presentations, briefs and reports. You will be required to think several steps ahead, exercise sound judgement, and manage relationships with professionalism and tact.

  • Provide comprehensive administrative support to the Senior Management Team, including diary management across multiple time zones.
  • Serve as a strategic partner, ensuring follow-through on meeting outcomes, tracking deliverables, and maintaining momentum on projects.
  • Coordinate project meetings, take minutes and track and follow up on actions.
  • Support project management activities, including maintaining timelines and monitoring progress.
  • Assist with drafting presentations, preparing briefs, and compiling reports.
  • Coordinate communication between executives, internal teams, and external stakeholders, ensuring clarity, discretion and alignment.
  • Anticipate needs and proactively manage priorities to optimise executive productivity.
  • Represent leadership with professionalism, upholding the highest level of confidentiality and discretion in all matters.

Person Specification

Essential:

  • Proven experience supporting senior executives, ideally across international time zones.
  • Demonstrated ability to support project work with attention to detail.
  • Strong communication skills, with the ability to convey information clearly and diplomatically with executive-level polish.
  • Strong organizational skills with the ability to manage competing priorities.
  • High level of proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).

Desirable:

  • Experience in private or public healthcare.
  • Familiarity with medical terminology and UK healthcare pathways, referrals, and private medical insurance processes.

  • Collaborative working style, fostering positive relationships across clinical and non-clinical teams, external partners and senior stakeholders.
