About this role
This role goes beyond traditional diary management: it requires someone who understands the priorities behind the diary and uses that insight to align the CEO’s time with what matters most. By proactively managing her time, priorities, travel, relationships and commitments. You will give the CEO confidence that every aspect of her schedule is under control, allowing her to focus on the decisions, customers, people and opportunities that will have the greatest impact on the business. At the heart of the organisation, this pivotal role serves as the nerve centre of the CEO’s office, coordinating workflows and ensuring priorities are delivered seamlessly.
What you will do
- Build a trusted partnership with the CEO, anticipating requirements through a strong understanding of her priorities, working style and business objectives.
- Own and optimise the CEO’s complex diary across multiple time zones, prioritising high-value activity, anticipating conflicts and recommending where commitments should be moved, consolidated, delegated or declined.
- Manage and prioritise the CEO’s inbox, ensuring timely action, and appropriate escalation of urgent or sensitive matters.
- Provide end-to-end meeting support by preparing agendas and briefing materials, recording decisions and actions, and tracking commitments and deadlines to completion.
- Develop high-quality presentations, correspondence and executive communications with precision, sound judgement and attention to detail.
- Lead end-to-end executive travel and logistics across flights, accommodation, transfers, tickets, visas and itineraries; arrange strategically relevant regional meetings and manage disruption, cancellations and rebooking.
- Represent the CEO professionally and confidently in direct engagement with C-suite leaders, Board members, customers, and other senior external stakeholders.
- Build trusted relationships across the CEO’s internal and external network to facilitate decisions, resolve issues and enable high-value engagements.
- Partner with the Leadership Team and executive assistants to maintain alignment across strategic priorities and workstreams.
- Coordinate Leadership Team and Board of Trustees offsites, strategy sessions and executive events, ensuring high-quality logistics, materials and delivery.
- Lead coordination across CEO Office priorities and business-critical projects, including research, leadership meetings and other executive activities.
- Manage CEO Office expenses, invoices and financial administration, ensuring accuracy, compliance, timely processing and effective cost control.
- Exercise discretion, confidentiality and independent judgement to determine which matters require the CEO’s attention, can be resolved directly or should be escalated.
- Operate with pace, resilience and flexibility, adapting effectively to changing priorities and the demands of an intensive executive schedule.

We're looking for
- Significant experience supporting a CEO, Founder or C-suite executive, ideally within a high-growth, international organisation.
- Exceptional diary management and organisational skills, with the ability to assess competing demands, anticipate conflicts and keep the CEO’s time aligned with the highest-value priorities.
- Proven experience managing complex international travel, multiple time zones and last-minute changes with accuracy and composure.
- A confident, professional communication style and the credibility to engage effectively with C-suite executives, Board members, customers, and other senior stakeholders.
- High levels of discretion, integrity and sound judgement, with the confidence to challenge constructively, make recommendations and handle sensitive information appropriately.
- The ability to combine meticulous attention to detail with a clear overview of interconnected schedules, communications and executive materials.
- Experience supporting senior meetings by producing concise, accurate minutes, documenting decisions and assigning actions, owners and deadlines for follow-up.
- Practical experience managing executive expenses, invoices and related financial administration accurately and efficiently.
- Strong Microsoft Office 365 and digital skills, with the ability to adopt new technology quickly and use it to improve executive coordination and efficiency.
- A proactive, commercially curious approach to executive support, with the confidence to take ownership, work autonomously and understand how the CEO’s priorities connect to the wider business.
- A flexible and resilient approach, with the ability to remain calm under pressure, adapt quickly to changing priorities and respond to occasional out-of-hours contact.
- The ambition to grow with the business, build a long-term career and become a trusted, integral member of the CEO Office.

Salary and benefits
The salary banding for this role is £67,036 - £80,443/yr, in addition to 30 days’ holidays plus bank holidays, generous non-contributory pension provision, Employee Assistance Programme, life assurance, training and development, flexible working opportunities and other benefits. Final offer amount depends on multiple factors such as candidates experience and expertise, geographic location, total compensation, and market data.
This is a full time, office based role at CDP’s London office. Interested applicants must be eligible to work legally in the UK and live within a commutable distance of the London office and be comfortable with four days in the office per week. We cannot sponsor this role.
