Job Description
Business Context
TD Securities’ Corporate and Investment Banking ("CIB") team provides a range of advisory, financing and banking services to corporate and institutional clients. The London-based Administrative Assistant plays a key role in supporting senior bankers and the wider CIB team, helping ensure that client activity, internal coordination and day-to-day administrative requirements are managed efficiently and professionally. The role operates as part of the broader London Administrative Assistant team, working collaboratively to provide seamless support and appropriate backup coverage during periods of absence, peak workload and other business requirements.
Position Overview
As a member of the TD Securities CIB team, the Executive Assistant will provide comprehensive support to Managing Directors and other senior team members. The role requires strong organisational skills, sound judgement and the ability to manage multiple priorities in a fast-paced, client-focused environment.
How You Will Contribute
- Manage complex diaries for Managing Directors and other senior team members.
- Coordinate internal and external meetings across multiple time zones and levels of seniority.
- Develop and maintain strong working relationships with administrative counterparts at client firms and across TD.
- Arrange domestic and international travel, ensuring compliance with Bank policies and applicable travel requirements.
- Manage expense processing, invoice administration and related approvals in accordance with Bank policies, including ensuring that relevant deal-related expenses are accurately captured.
- Manage incoming enquiries and requests, exercising discretion and appropriately prioritising confidential or time-sensitive matters.
- Maintain client contact information, coordinate client meeting logistics, including arranging meeting rooms, visitor access and printing meeting materials, and support the administration of call reports and related client documentation.
- Coordinate client entertainment, conferences, roadshows and other client-facing activities, including attendee management, registration, logistics and support for corporate, financial institution and sponsor client meetings.
- Maintain appropriate records in accordance with TD policies and record-retention requirements.
- Support routine technology, access and facilities requirements, adoption of new tools and systems, and improvements to administrative processes and team efficiency.
- Work collaboratively with the broader Administrative Assistant team to provide backup coverage and ensure continuity of support across the CIB platform.

Qualifications
- Relevant administrative experience; previous experience in banking or financial services is preferred.
- A discreet, professional and proactive approach, with the ability to exercise sound judgement and maintain confidentiality.
- Strong organisational skills, with the ability to manage competing priorities, work effectively in a high-volume environment and deliver accurately under pressure.
- Ability to work independently while contributing effectively as part of a team.
- Strong ownership of tasks and processes, with the ability to anticipate requirements and follow matters through to completion.
- Excellent Microsoft Office skills, including Word, PowerPoint, Outlook and Excel.
- High attention to detail, together with strong accuracy and numeracy.
- Excellent verbal and written communication skills, including confidence interacting with senior stakeholders, clients and external counterparties.
- Strong problem-solving skills, with the ability to identify solutions through personal initiative and effective use of internal networks and resources.
- Demonstrated ability to build and maintain effective working relationships with colleagues, clients and administrative counterparts.
- Proficiency in another European language would be an advantage.
