The Role

The Executive Assistant is responsible for providing high-level administrative support to the Chief Commercial Officer, Vice President Europe, and Vice President International in achieving their objectives and responsibilities as well as ad-hoc support to their respective teams.

Reporting directly to the CCO, the EA supports the CCO and his wider senior management teams; organises and coordinates executive outreach and external relations efforts whilst also organizing special events for the company as required.

What You'll Be Doing

  • Provide high-level executive and administrative support to the CCO, VP Europe and VP International, ensuring commitments, priorities and responsibilities are delivered effectively and on time.
  • Manage complex diaries, emails, communications and forward planning across multiple time zones and international markets.
  • Coordinate internal and external meetings, and customer engagements; prepare agendas, presentations, minutes and action points.
  • Arrange international travel, accommodation, visas, transfers and itineraries for executives, team members and visitors.
  • Plan and coordinate special events, including budgeting, venue and supplier management.
  • Manage relationships with travel agents, transport providers and hotels, including account set-up and ongoing administration.
  • Prepare and process expenses, invoices and purchase orders, ensuring compliance with company policy and timely submission/payment.
  • Provide general administrative support, including drafting correspondence, reports, presentations, proposals and internal communications.
  • Work collaboratively with other EAs to provide effective cover during periods of absence.
  • Proactively identify priorities, anticipate requirements and maintain a high level of accuracy and confidentiality.
  • Analyse the Salesforce opportunity pipeline, using Tableau where appropriate, to identify stalled or at-risk deals, pipeline gaps and potential revenue risks.
  • Assess forecast performance and pipeline-to-quota coverage, providing the CCO with data-driven recommendations, remediation plans and resource reallocation opportunities.
  • Support with the purchasing administration for the commercial department through raising of purchase orders and payment of invoices, liaison with suppliers and the finance team to reconcile payments.
  • Welcome customers when visiting HQ and provide site tours and information, organise welcome packs and merchandise to ensure a professional and friendly experience when visiting Rayner.
  • Undertake other duties reasonably required of a senior Executive Assistant.

Essential

  • Demonstrable experience of supporting senior-level executives, preferably in an international environment, handling confidential and sensitive information with the utmost discretion
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to communicate effectively and professionally
  • Demonstrates excellent time management capabilities and ability to manage multiple calendars
  • Highly organised and a great communicator
  • Must be confidential and a team player

Desirable

  • Bachelor's degree
  • Experience of working in PE, Banking, Medical/Pharma, professional services
