Executive Assistant Coordinator
Manchester
Circa £30,000 per annum
Full-time, Permanent
Job Description:
An exciting opportunity has arisen for a highly organised and proactive Executive Assistant Coordinator to support the efficient running of a busy Director’s Office within a leading research-focused environment.
Working closely with the Executive Assistant to the Director, you will provide high-level administrative and coordination support, helping to manage priorities, facilitate communication and ensure key activities are delivered to a consistently high standard.
This is a varied and highly visible role, ideal for an experienced administrator or coordinator who enjoys working with senior stakeholders and thrives in a fast-paced environment. You will play a key role in supporting executive operations, managing confidential information and ensuring the smooth delivery of business-critical activities.
The role involves:
- Providing high-quality administrative and coordination support to the Director’s Office.
- Supporting the Executive Assistant with the management of day-to-day operational activities.
- Coordinating meetings, including scheduling, room bookings, technology requirements, visitor arrangements and catering.
- Preparing, organising and distributing correspondence, presentations, reports and meeting documentation.
- Maintaining action logs and monitoring progress against agreed deadlines.
- Supporting inbox management and ensuring enquiries are handled and escalated appropriately.
- Coordinating travel arrangements, accommodation, expenses and supporting documentation.
- Assisting with the organisation of events, visits, away days and other business activities.
- Maintaining accurate records, systems, trackers and filing processes.
- Identifying opportunities to improve administrative processes and office efficiency.
- Building effective working relationships with senior stakeholders and colleagues across the organisation.

You’ll need:
- Degree-level education or equivalent relevant experience.
- Experience organising and prioritising a varied workload in a fast-paced environment.
- Experience producing accurate written documentation and records to deadlines.
- Strong organisational and multitasking skills with excellent attention to detail.
- Experience handling confidential and sensitive information appropriately.
- Strong communication skills with the ability to build effective relationships across all levels.
- Proficiency in Microsoft 365, including Outlook, Word, Excel, Teams and SharePoint.
- A proactive and solution-focused approach to problem solving.
- The ability to work accurately under pressure and meet tight deadlines.
- Experience supporting meetings, arranging travel, processing expenses or coordinating events would be advantageous.
