Overview
An exciting opportunity has arisen for a highly organised and proactive Executive Assistant to support senior leadership within a fast-paced global markets environment. This role will provide dedicated support to the Global COO for Equities, Credit & Financing, ensuring the effective management of priorities, communications, meetings and operational activities.
The successful candidate will play a key role in enabling senior leadership effectiveness, acting as a trusted partner and helping to drive efficiency across a demanding and dynamic business area. This position offers exposure to senior stakeholders across global markets and the opportunity to contribute to workflow improvement initiatives, including the practical use of AI-enabled tools.
Key Responsibilities
Executive Support & Time Management
- Manage complex and demanding diaries, calendars and inboxes.
- Prioritise competing demands and ensure focus on key business activities.
- Anticipate scheduling conflicts and proactively manage changes.
Meetings, Events & Leadership Support
- Coordinate leadership meetings, forums, events and business visits.
- Prepare agendas, meeting packs and supporting materials.
- Track actions and ensure timely completion of agreed deliverables.

Travel & Logistics
- Arrange domestic and international travel in line with company policies.
- Coordinate itineraries, accommodation, transportation and related requirements.
- Manage changes efficiently while maintaining a seamless travel experience.
Stakeholder Management & Communications
- Act as a professional point of contact for senior internal and external stakeholders.
- Facilitate effective communication and information flow across teams.
- Build strong working relationships across a global organisation.
Briefings & Documentation
- Prepare and quality-check presentations, briefing papers and decision materials.
- Compile information from multiple sources to support leadership decision-making.
- Maintain action trackers and ensure follow-up activities are completed.
Process Improvement & Innovation
- Support workflow enhancement initiatives.
- Leverage digital and AI-enabled tools to improve efficiency and collaboration.
- Identify opportunities to streamline administrative and operational processes.

Skills & Experience Required
- Proven experience providing executive-level support within a fast-paced corporate environment.
- Exceptional organisational skills with the ability to manage multiple priorities simultaneously.
- Strong judgement and problem-solving abilities, with a proactive and solutions-focused approach.
- Excellent written and verbal communication skills.
- Experience working with and influencing senior stakeholders.
- Strong attention to detail and commitment to delivering high-quality work.
- Demonstrated ability to work independently with minimal supervision.
- High degree of professionalism, integrity and discretion.
- Advanced knowledge of Microsoft Office applications, including Outlook, PowerPoint, Word and Excel.
- Experience preparing presentations, briefing papers, meeting packs and action trackers.
- Comfortable working with digital tools and new technologies.
- Interest in financial markets, front-office environments and emerging AI capabilities.
