Executive Assistant Role
We are looking for an experienced Executive Assistant to provide high-quality executive support to four senior Distribution executives within the EMEA Client Group, together with ad hoc administrative support to the wider teams.
Responsibilities
Reporting to the Chief Operating Officer EMEA, you will work closely with each of the four executives, helping them manage busy and often competing priorities across a fast-paced, international business. You will take ownership of diary management, travel, meeting coordination and wider administrative requirements, applying sound judgement to ensure their time and priorities are managed effectively.
You will also work closely with two other Executive Assistants supporting the EMEA Client Group. The three EAs will operate collaboratively, providing support and cover for one another, sharing information and coordinating across teams to help ensure a consistent and joined-up approach across the Client Group.
Key Responsibilities
- Executive Support: Provide dedicated support to four senior Distribution executives, understanding their priorities and individual ways of working.
- Diary Management: Manage complex and changing diaries, coordinating meetings and balancing competing priorities.
- Travel: Manage end-to-end international travel, including itineraries, accommodation, transport and visa requirements.
- Clients and Events: Coordinate client meetings, events, restaurants, meeting rooms, catering and other logistics to deliver a high-quality experience.
- Expenses and Administration: Manage expenses and associated administration accurately and efficiently.
- Team Support: Provide flexible, ad hoc administrative support to the executives’ wider teams, including meetings, travel, events and visitors.
- Office and Visitor Coordination: Work with internal support teams to coordinate senior visitors and day-to-day office requirements.
- EA Collaboration: Work closely with the two other EAs across the EMEA Client Group, sharing information, coordinating priorities and providing mutual support and cover.
- Proactive and Professional Support: Anticipate requirements, resolve issues and handle sensitive matters with sound judgement, professionalism and discretion.

- Experience supporting multiple senior stakeholders in a complex, fast-paced and ideally international environment.
- Excellent organisational, diary management and prioritisation skills, including experience coordinating complex international travel.
- A proactive, solutions-focused approach, with the judgement and confidence to anticipate needs and manage changing priorities.
- Strong interpersonal and communication skills, with the ability to build trusted relationships with colleagues and clients at all levels.
- A collaborative approach, including a willingness to work closely with other EAs, share responsibilities and provide mutual support and cover.
- Strong client-service orientation with consistently high attention to detail.
- Resilience, adaptability and the ability to remain calm and effective when managing competing demands.
- A high degree of professionalism and discretion, with the flexibility to take ownership beyond traditional EA responsibilities where appropriate.
