Executive Assistant (EA) / Senior level PA - Media Industry - West End, London – c£45k + benefits – 18m FTC

We have a fantastic opportunity for an incredibly organised, conscientious and discreet Senior level PA / Executive Assistant to join a fabulous company in the West End on an 18m FTC.

As the Senior PA / Executive Assistant (EA) you will provide dedicated, high-level support to a Director, including extensive diary management, international travel arrangements, email management, event coordination, general administration and more.

This is a fast-paced, international role that requires strong multi-tasking, a keen eye for detail and the ability to be two steps ahead; it would be ideal for someone who loves supporting at a senior level in a global environment. We’re looking for someone with prior experience as a PA / EA, ideally in the media industry, who is confidential, highly organised and is able to proactively problem-solve in an ever-changing environment.

  • General day-to-day support to the Director
  • Extensive diary management - managing conflicting and changing diaries and itineraries
  • Coordinating in-person and online meetings across various time-zones
  • Collating global company information for collation and presentation in various formats (presentations, newsletters etc.)
  • Managing email inboxes
  • Managing international travel bookings, accommodation and itineraries
  • Organising relevant visas and documentation as required
  • Producing detailed reports and presentations
  • Coordinating company events including online meetings, conferences and more
  • Collating expenses
  • Maintaining team databases and systems
  • And more.

What we’re looking for:

  • Experience in fast-paced, international PA / EA roles, ideally in the media industry (or related fields)
  • Excellent organisational skills and strong time-management capabilities
  • Fast and accurate secretarial skills
  • Confident communication skills with the ability to liaise professionally at all levels, internationally
  • Resilience, assertiveness and professionalism to act as a proficient, yet respectful gate-keeper
  • Strong experience in international travel and meeting arrangements
  • Accurate written skills with strong proofreading abilities – experience producing reports, documents and company newsletters
  • Solid research, analysis and data collating capabilities
  • Highly confidential nature and the ability to act with discretion
  • Proactive, ‘can-do’ attitude and problem-solving capabilities
  • Ability to work proactively at pace, in an ever-changing environment
  • Strong MS Office skills including Outlook, PowerPoint, Word and Excel
