Job Title - Executive Assistant
Location - Remote, however weekly access to City of London required for a weekly meeting. You will only be considered if you are within a commutable distance to London.
Hours - Full time, 35 hours week, Core hours 9am - 5pm
Salary - Competitive, Dependent on experience
Please note, this role will be on a Self Employed basis.

ROLE PURPOSE
The Executive Assistant will provide comprehensive personal and administrative support to the founder, while also taking ownership of day-to-day operational processes across the business. This is a remote role combining traditional PA duties - diary and inbox management, and correspondence - with broader operations responsibilities such as liasing with marketing, supplier coordination, office management, process improvement, and light project support. The successful candidate will be a natural organiser who thrives in a fast-paced, ever-changing small business environment and is comfortable working across multiple priorities at once.

KEY RESPONSIBILITIES
- Diary & Inbox Management: Managing complex diaries, scheduling meetings, and resolving clashes across multiple stakeholders
- Email & Correspondence: Acting as a first point of contact and gatekeeper for the leadership team, prioritising and drafting correspondence
- Marketing Coordination: Working with the marketing team to bring to life Marketing initiatives
- Meeting Support: Preparing agendas, taking minutes, and tracking follow-up actions for leadership and board meetings
- Office & Operations Management: Overseeing day-to-day office operations, supplier relationships, and facilities to keep the business running smoothly
- Finance Administration: Assisting with invoicing, expense processing, and basic budget tracking alongside the finance function
- HR & Onboarding Support: Supporting recruitment coordination, onboarding, and general HR administration as the team grows
- Process Improvement: Identifying opportunities to streamline administrative and operational processes as the business scales
- Project Support: Providing ad hoc project support across the business, from event coordination to research tasks
- Confidentiality: Handling sensitive business and personal information with absolute discretion
SKILLS & EXPERIENCE - ESSENTIAL
- Experience: Proven experience in a PA, EA, Office Manager, or Operations support role, ideally within a small or scaling business (Min 3 years+)
- Organisation: Exceptional organisational skills with the ability to manage competing priorities and tight deadlines
- Communication: Confident, professional communicator, comfortable liaising with senior stakeholders and external contacts
- Proactivity: A proactive, hands-on approach with the initiative to anticipate needs before being asked
- IT Literacy: Strong working knowledge of Microsoft Office / Google Workspace; comfortable picking up new systems quickly
- Adaptability: Calm and adaptable under pressure, with the resilience to work in a fast-changing small business environment
- Discretion: High level of discretion and sound judgement when handling confidential information
