Executive Assistant | Fast-Growth Media Production Startup | North West London

Our client is a dynamic, fast-scaling media production business with a strong reputation for the quality of its output and breaking moulds in the creative industry. The business has experienced significant growth in recent years and is on an impressive, exciting path to continue scaling their operations.

The Role

This is a pivotal hire for our client's Founder & CEO. Reporting directly to the CEO and working in close partnership with his Founder's Associate, the Executive Assistant will own the CEO's day-to-day world, his diary, inbox, travel, and personal life, so that his time is consistently protected for the highest-value creative, commercial, and leadership priorities.

While the Founder's Associate leads strategic priorities and business execution, this role is about making sure nothing falls through the cracks day to day, anticipating needs before they are raised, and solving problems before they surface.

It is a hands-on role to start, with real scope to take on more of the strategic and process-ownership work as trust develops.

This position is 5 days in-office in North West London.

Responsibilities

  • Own and manage an exceptionally busy calendar across business and personal commitments, resolving conflicts before they arise, and protecting time for strategic and creative work.
  • Triage email and messages, draft correspondence, and prioritize incoming requests so communication flows efficiently without unnecessary interruptions.
  • Coordinate complex domestic and international travel, including multi-stop itineraries, flights, accommodation, transport, and visas, with confidence handling last-minute changes.
  • Manage a full range of personal support, from household appointments and reservations to personal admin, with absolute discretion on confidential matters.
  • Partner closely with the Founder's Associate to coordinate diaries, priorities, and logistics, sharing information proactively and anticipating challenges before they become problems.
  • Prepare the CEO for meetings with the right information at the right time, tracking, and actioning follow-ups.
  • Take ownership of processes across the executive office, using sound judgment to make decisions and improvements without waiting to be asked.
  • Ad hoc tasks to support the CEO and other department heads.

What We Need to See (Essential)

  • Significant experience supporting a Founder, CEO, or senior executive as an Executive Assistant, ideally 5 to 10 years.
  • Experience working within a startup or scale-up environment, comfortable operating with less structure and a fast-changing, reactive workload.

What We’d Like to See (Bonus)

  • Experience supporting senior leaders within a creative agency, production company, media business, or other entertainment environment, or familiarity with project-based, freelancer-heavy ways of working.

Package:

  • Salary: £55,000 - £60,000
  • Location: North West London
  • In-office requirement: This is a studio-based role five days a week.
