IMG are hiring an Executive Assistant to provide administrative and general support to the Football senior executives at IMG to support with facilitating a smooth running of the business.
Key Responsibilities And Accountabilities
Your priority will be to provide key administrative and general support to the Senior Executive. You may also be required to support the additional business leads as needed. Duties will include:
- Diary management
- Meeting minutes and agendas
- Travel arrangements
- Document management
- Processing expenses
- Meeting arrangements with relevant IT / AV support
- Accurately managing and reconciling expenses
- Managing travel records in and out of UK for tax purposes
- Providing administrative support for creating and collating final tender, presentation and pitch documents (inc. proof reading, research and ordering necessary materials)
- Efficient management of business travel. Including suggesting the most efficient routes and creating itineraries effectively
- Implementing administrative systems and processes to support the smooth running of the business
- Coordinating Executive, Finance and Audit Committee meetings, maintaining confidential files and contact information
- Supporting the Senior Executive with multiple projects
- Managing and updating regular meeting agendas and reports
- Responsible for maintaining key departmental administrative documents (e.g. Health & Safety & other Training records)
- Taking control of resolving urgent operational or administrative issues
- Being a key point of contact for any general enquires from both internal and external stakeholders and suppliers
- Providing cover where required and working closely with other EA’s within the wider network
- Other duties that are within the scope of the role may be required

Knowledge And Experience
- Must have undertaken similar roles in a fast paced, high growth business before
- Previous experience as an EA/PA is required
- Driving administrative processes
- Must have handled confidential information before while exercising discretion
- Must have developed the knowledge and experience of managing and processing invoices, and other common corporate processes
Skills And Abilities
- Organisational skills that enable the individual to prioritise a varied workload. Priorities will often change to dictate focus of work – the candidate must have the ability to handle competing demands and last-minute changes effectively.
- Ability to multi-task, manage time effectively and prioritise
- Excellent oral and written communication skills - There will be regular contact with key internal and external stakeholders and partners.
- Calm and professional manner when working under pressure
- Positive, professional, proactive, diligent and flexible approach to work
- A strong team player with outstanding organisational skills
- Excellent written communication skills
- Excellent command of Microsoft Office Suite (including Outlook, Excel, Word & PowerPoint)

Working Conditions
- This is a permanent position
- This role will be based at Chiswick Park, with some flexibility on remote working as appropriate
- Working hours are 9:00 – 17:00, Monday to Friday
- May be required to attend (and travel to) locations, including other IMG buildings and meetings
