HAIL Partners is working with a Private Equity firm who are seeking an Executive Assistant to join their London team. This is a fast-paced, high-profile role, supporting senior Executives across multiple concurrent workstreams, project coordination, and portfolio-facing engagement. This is a 12-month Fixed Term Contract.

Responsibilities:

  • Proactive diary management, operating with accuracy and responsiveness to changing needs
  • Seamless organisation of travel, with recommendations to ensure more efficient itineraries
  • Coordinating kick-off calls, distributing and tracking statements of work, and updating trackers
  • Supporting the monthly reporting cycles: circulating templates, uploading submissions, tracking completeness and status, and chasing outstanding items ahead of deadlines
  • Assisting with coordination of portfolio-facing engagement activity (roundtables, webinars, events), managing attendee lists, confirmations, and logistics
  • Timely and accurate processing of invoices and expenses
  • Working with the wider team EAs on team initiatives
  • Providing effective cover for the wider Executive Support Team during holiday and absence periods
  • Exercising discretion and maintaining confidentiality given the sensitivity of the information handled

Role Requirements:

  • Prior experience in an EA/Assistant support role (around 1–2 years)
  • Experience gained in a fast-paced financial services or professional environment
  • Experience working collaboratively within a team, including providing cover and support to colleagues
  • Excellent organisational skills, accuracy, and attention to detail, managing multiple concurrent, detail-heavy processes
  • Confident, clear communication style, both written and verbal, adaptable depending on audience
  • Excellent work ethic, professionalism, resilience, and proactive problem-solving
  • Sharp intuition and interpersonal skills, with the ability to build relationships quickly
  • Curiosity in AI, with a willingness to review and adapt workflows to increase efficiency
