About The Role
The FLC segment is seeking an FTC maternity cover Executive Assistant to support one of their teams and the smooth functioning of the business. The candidate must be highly organised with the ability to juggle and prioritise tasks. The candidate should have intermediate Microsoft Office applications skills, good interpersonal and communications skills underpinned by a proactive and positive approach. Accuracy and attention to detail is essential. The nature of the business is driven by client deadlines and on occasion the Executive Assistant may be required to work outside the core hours at short notice.
What You’ll Do
- Full support to Senior Managing Directors and Practice Support Manager as required
- Proactive inbox management for SMDs and MDs as required
- Full and proactive diary management for SMDs and MDs, often navigating conflicting demands
- Booking international travel and managing complex travel schedules
- Appropriate written and verbal communication on behalf of senior leaders both to internal and external parties
- Maintaining client contacts effectively, managing BD meetings and keeping CRM system up-to-date
- Assisting with client management administration as required
- Keeping team bios up to date and in house style
- Maintenance of records and files as required
- Managing the senior team’s time entry and expenses claims in a timely manner
- Uploading and coding invoices for the team
- Being part of FLC’s support network, and able to cover teams as required by cover rota
- Supporting preparation of reports, proposals, presentations, contracts etc in line with FTI house styles
- Support for regional teams when required
- Event organization and assistance as required
- General ad hoc administrative tasks for the team

What You Will Need To Succeed
- Ability to prioritise workload and to deal with multiple parties and requests
- Ability to communicate with tact and diplomacy, both verbally and in writing with all levels of the organisation
- Ability to work under time pressure and be available as needed
- Strong attention to detail with strong organisational skills
- Strong interpersonal skills required to maintain collaborative working environment
- Strong team player and willingness to assist others when needed
- Ability to handle confidential issues with utmost sensitivity, discretion and integrity
- Proficiency in Microsoft Office suite (Excel, Word, Outlook, PowerPoint)
Basic Qualifications
- A few years Executive Assistant experience in a professional services or similar corporate environment, supporting senior leadership
- Proficiency in Microsoft Office suite (Excel, Word, Outlook, PowerPoint)
