Executive Assistant

Location: Canary Wharf, Bank Street

Role Type: Contract - 3 months rolling

Work Setup: Onsite - 5 days in the office

What you'll do

  • Provide proactive executive support, managing complex and constantly changing diaries while anticipating priorities and business needs.
  • Coordinate international and domestic travel, including flights, accommodation, visas, ground transport, and detailed itineraries, adapting quickly to last-minute changes.
  • Build strong relationships with senior stakeholders, clients, and colleagues, acting as a trusted point of contact and coordinating meetings across multiple platforms.
  • Manage executive expenses in partnership with offshore teams, ensuring accuracy, policy compliance, and effective cost control.
  • Deliver a broad range of administrative support, including document preparation, data management, room bookings, and the use of internal travel, expense, and communication systems.
  • Work collaboratively with the wider Executive Assistant team to provide seamless support, cover during absences, and contribute to an efficient, high-performing environment.

What you bring

  • Proven Executive Assistant or Personal Assistant experience supporting senior leaders and wider business teams within financial services or larger corporate organizations.
  • Strong experience managing complex diaries with frequent last-minute changes and competing priorities.
  • Proven background coordinating international travel, visas, and detailed itineraries.
  • Confident in building relationships with senior executives, clients, and stakeholders at all levels.
  • Experience managing executive expenses using Concur or similar expense management systems.
  • Excellent organizational, communication, and problem-solving skills, with exceptional attention to detail, a proactive approach, and the ability to thrive in a fast-paced environment.
