We’re looking for a resourceful, proactive, and detail-oriented Executive Assistant to support two Vice Presidents across our UK business and EMEA Technology organisation. In this role, you’ll help leaders operate effectively by managing calendars, coordinating travel and events, supporting meeting preparation, and maintaining strong documentation and record-keeping practices.
You’ll partner closely with teams in the UK and internationally, including the Affirm Leadership Support Team, and cross-functional partners across the business. You’ll report directly to the VP, Country Manager UK and the VP, EU Engineering
What You’ll Do
- Provide high-quality administrative support to two Vice Presidents
- Manage inboxes, calendars, scheduling, and meeting prioritisation to help leaders use their time effectively
- Co-ordinate core meetings in the daily / weekly / monthly operating plan for both leaders, ensuring attendance, drafting and distributing agendas, preparing materials, creating decks / notion pages, communicating with attendees and ensuring follow up actions are shared in a timely manner and tracked to completion.
- Manage incoming correspondence, including email and physical mail, and coordinate timely intake and forwarding from the managed office facility
- Ensure leaders are fully prepared for all core meetings that they attend linking all relevant documentation into calendar invites and providing timely reminders, blocking off time in diaries to ensure sufficient preparation and review time.
- Co-ordinate team events, team-building activities, and onsite/offsite meetings in various locations, including travel as needed.
- Ensure monthly in-office days are planned and well attended, including booking office space, organising food and refreshments, ensuring AV equipment is available and operational.
- Plan and co-ordinate all travel for both VPs in good time ensuring tracking, monitoring and communication of any delays, cancellations and changes to travel plans.
- Support and complete expense reporting and travel coordination through Navan travel system
- Prepare documents and presentations using Google Suite and Microsoft Office develop skills of AI tools
- Provide administrative support and coordination for UK and EMEA projects and programmes as needed
- Pro-actively engage and develop effective ways of working utilising AI tools.
- Work collaboratively with the support team across the business, providing cover where needed and ensuring cover is planned during planned time off.

What We Look For
- 8+ years of relevant executive support experience
- Experience supporting Board level leaders in a fast-paced, dynamic, and cross-functional environment
- Ability to work independently while collaborating effectively across teams, functions, and markets
- Comfortable and proven experience of working in a remote environment
- Complete discretion and confidentiality in all matters
- Excellent judgment, professionalism, discretion, and ability to handle confidential information
- Outstanding organisational skills, attention to detail, follow-through, and ability to manage multiple priorities
- Experience providing clerk or administrative support for Board and/or sub-committee meetings
- Experience working in or supporting a regulated UK business
- Working knowledge of Google Suite, Microsoft Office, Navan, Notion, and Zoom
- Working knowledge of workplace AI tools - Codex and Claude
- Ability to navigate ambiguity and lean into ad hoc projects and requests
- Strong communication skills and ability to give and receive feedback diplomatically
- Willingness to travel when required, including some international travel
Compensation & Benefits
- Base Pay Grade: H
- Equity Grade: UK 1
- Employees new to Affirm typically come in at the start of the pay range. Affirm focuses on providing a simple and transparent pay structure based on a variety of factors, including location, experience, and job-related skills.
- Base pay is part of a total compensation package that may include monthly stipends for health, wellness, and tech spending, and benefits including 100% subsidized medical coverage, dental, and vision for you and your dependents. In addition, employees may be eligible for equity rewards offered by Affirm Holdings, Inc.
- GBR base pay range per year: £61,000–£99,000
- Location: Remote UK
