Executive Assistant to CEO – Job Description

Responsibilities
Detailed day-to-day responsibilities include:
- Diary & Calendar Management – Organise and prioritise a complex, multi-timezone calendar, ensuring meetings are conflict-free and travels are efficiently scheduled.
- CEO’s Daily Operations – Oversee the CEO’s working day (room bookings, attendee attendance, scheduling).
- International Travel Coordination – Prepare flight itineraries, book hotels, and assemble travel agendas.
- Email & Communication – Monitor the CEO’s inbox, respond appropriately, clear unnecessary emails, actionable items, and flag critical messages.
- Gatekeeper Role – Balance professional gatekeeping with maintaining positive relationships among stakeholders.
- Global & Client Communications – Draft, review, and manage communications for national/local offices and clients while managing external contacts.
- Social Media & Stakeholder Relations – Oversee social media accounts, proactively build relationships, and editorially*).
- Legal & Client Engagement Support – Work closely with VCCP’s legal team to ensure timely handling of client enquiries, assist with client entertainment (managing guest lists, dietaries, and logistics), and assist in meeting preparations.
- Ad-hoc Support – Handle admin tasks, including expenses, invoicing, budget tracking, and personal errands.
