Role Overview
You will provide high-level, discreet and professional support to two very busy Property Directors, enabling them to lead a large, UK-wide portfolio and fulfil Board responsibilities. You will act as a trusted partner and gatekeeper, creating time and clarity for strategic priorities, coordinating across departments, and ensuring the right issues reach the right people at the right time.
You will thrive in the detail while keeping the bigger picture in view. From tracking what’s happening across portfolios to coordinating complaint responses and supporting tribunal matters, you will bring structure, judgement and calm to complex, fast-moving situations. Your ability to collaborate, anticipate, and uphold confidentiality will make you a pivotal team player at the heart of our operation.
ROLE EXPECTATIONS
Most days, you will orchestrate complex diaries and priorities, facilitate cross-functional collaboration, and prepare briefing materials that help Directors make fast, informed decisions. You will keep a sharp eye on lease and service charge timelines, ensure demands are issued accurately, and coordinate responses to escalations, complaints and tribunal-related actions with absolute professionalism and discretion.

- Directors’ time is protected and focused on the highest-impact work, with proactive planning and minimal last-minute disruption.
- Cross-department collaboration runs smoothly, with clear actions, well-prepared meetings and timely follow-through.
- Complaint responses are accurate, consistent in tone and on-brand, with issues resolved swiftly and escalations reduced.
- Tribunal-related documentation and timelines are well-managed, with rigorous attention to detail and confidentiality.
- Lease, service charge and demand processes are monitored, with early identification and mitigation of risks or delays.
- Stakeholders experience exceptional communication, discretion and professionalism in every interaction.

How You'll Spend Most Of Your Time
- Managing complex calendars, inboxes and priorities for two Property Directors, anticipating needs and resolving conflicts.
- Preparing briefing notes, Board and meeting packs, agendas and follow-up actions, ensuring decisions are data-informed.
- Coordinating cross-functional workstreams, tracking progress and ensuring accountable owners deliver on time.
- Drafting and refining correspondence, including complaint responses and formal communications.
- Supporting tribunal-related preparations, gathering evidence and liaising with internal and external stakeholders.
- Monitoring lease, service charge and demand cycles, flagging issues early and coordinating corrective actions.

Experience That Helps
- Executive Assistant experience supporting senior leaders, ideally within property management or a similarly complex environment.
- Exposure to leases, service charges and demand cycles, with an understanding of how they impact residents and operations.
- Involvement in handling complaints or formal responses, and familiarity with tribunal-related processes.
- Experience preparing Board or leadership packs, coordinating cross-department projects and tracking deliverables.
- Working with legal, finance and operational teams to navigate sensitive matters with accuracy and discretion.
