Executive Assistant
We are looking for an Executive Assistant to help our CEO stay focused on the decisions and relationships that matter most. You will manage a busy calendar and inbox, keep important work moving across teams, and make sure meetings, travel and stakeholder visits run smoothly.
The ideal candidate is a highly organised Executive Assistant who can anticipate needs, exercise sound judgement and remain calm when plans change. You will be comfortable working with senior leaders, handling confidential information and following up firmly and professionally.
What you’ll do
- Manage the CEO’s calendar and inbox, prioritising requests and protecting time for key work.
- Arrange travel, accommodation and detailed itineraries; process expenses and coordinate documents for signature.
- Organise leadership meetings, prepare agendas and materials, track actions and follow up on deadlines.
- Work with Finance to ensure monthly review materials and other deliverables reach the CEO on time.
- Coordinate communication and visits involving shareholders and other key stakeholders.
- Partner with HR and the Office Manager on new starter welcomes, office updates and the visitor experience.
- Coordinate company All-Hands meetings, including office setup and access for remote presenters.
- Support the scheduling and logistics of company events, industry awards and CEO communications, including LinkedIn content.

- Experience supporting a CEO, founder or other senior executive in a busy organisation.
- Excellent calendar, inbox, travel and meeting coordination skills.
- Strong written communication and confidence following up with senior stakeholders.
- Discretion when handling sensitive business and personal information.
- The ability to spot what needs attention, set priorities and act without waiting for detailed instructions.
- A calm, thoughtful approach and the awareness to navigate different personalities and situations.
