Role – Executive Assistant to CEO UK and Office Manager

Location: Hybrid Bankside/Bishopsgate

Contract Type: Long-term FTC paid via Yuno Juno

Reports to: CEO

Role Overview

We are seeking a highly organised, proactive, and resourceful Executive Assistant & Office Manager to provide dedicated support to our CEO UK while overseeing the day-to-day operations of our office environments.

This role sits at the heart of the production agency, acting as a trusted partner to senior leadership and ensuring the smooth running of both executive priorities and workplace operations. The successful candidate will manage complex diaries, coordinate meetings and travel, provide light-touch email support, and oversee office management across multiple locations. They will thrive in a fast-paced production and advertising environment, balancing competing priorities while maintaining exceptional attention to detail and professionalism.

Key Responsibilities

Executive Support

  • Provide high-level administrative support to the CEO UK.
  • Manage complex and frequently changing diaries, scheduling meetings across multiple time zones.
  • Coordinate internal and external meetings, ensuring all logistics, agendas, and materials are prepared in advance.
  • Support meeting content preparation, presentations, and follow-up actions.
  • Provide light-touch inbox management, helping prioritise communications and draft responses when appropriate.
  • Act as a key liaison between the CEOs and internal and external stakeholders.
  • Organise domestic and international travel, including flights, accommodation, itineraries, and logistics.
  • Provide ad hoc administrative support to members of the wider leadership team as required.
  • Handle confidential and sensitive information with discretion and professionalism.

Office Management & Operations

  • Oversee the smooth day-to-day operation of multiple office locations.
  • Coordinate regular agency meetings, event planning, seating arrangements, and employee location changes.
  • Ensure offices are welcoming, well-maintained, and support an excellent employee experience.
  • Support health, safety, and workplace compliance requirements.

Meetings, Events & Agency Coordination

  • Coordinate logistics for leadership meetings, agency-wide events, workshops, and team gatherings.
  • Manage meeting room bookings and virtual meeting requirements.
  • Assist with agency communications and stakeholder coordination.
  • Support onboarding logistics and workspace setup for new employees.
  • Help deliver a positive office culture through the coordination of employee activities and events.

Required Skills & Experience

  • Proven experience as an Executive Assistant supporting C-suite or senior executives within a creative environment
  • Strong diary and calendar management skills, including coordination across multiple time zones.
  • Experience organising complex meetings, travel arrangements, and executive schedules.
  • Strong organisational and project coordination skills with excellent attention to detail.
  • Experience providing inbox and communication support.
  • Previous office management, workplace, or facilities management experience.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Strong stakeholder management skills with the confidence to engage at all levels.
  • High degree of discretion and professionalism when handling confidential information.
  • Proficiency in Microsoft Office, Outlook, Teams, PowerPoint, and Word.
  • Candidates within an advertising, creative, media, or production agency will be prioritised.
