Executive Assistant & Office Manager

Salary: £40,000 - £42,000

Location: Putney, South West London

Hours: Monday – Friday, 8.45am – 5.30pm

Working Pattern: Office-based, full-time

A varied and rewarding opportunity supporting a Founder while keeping a busy office running seamlessly.

Our client is looking for a highly organised, proactive, and personable Executive Assistant & Office Manager to become the operational heartbeat of a successful and growing business based in Putney.

This is a genuinely varied role, combining traditional office management with executive support to the Founder and wider leadership team. While executive assistance forms an important part of the position, the majority of your time will be spent ensuring the smooth day-to-day running of the office, supporting colleagues, coordinating key business processes, and creating a professional environment for both employees and visitors.

This role would suit someone who enjoys wearing multiple hats, thrives on keeping things organised, takes ownership of tasks, and has the judgement to know what requires immediate attention.

What You'll Be Doing

  • Executive Support:
    • Providing dedicated support to the Founder, alongside assisting members of the Senior Leadership Team when required
    • Managing complex diaries, scheduling meetings, and coordinating appointments
    • Tracking actions and ensuring follow-ups are completed efficiently
    • Preparing meeting packs, presentations, documents, and briefing materials
    • Coordinating meeting logistics, attendees, and facilities
    • Handling confidential information with discretion and professionalism

  • Office Management & Operations:

    • Overseeing the smooth day-to-day running of the office
    • Managing office supplies, facilities, meeting rooms, and workplace resources
    • Acting as the first point of contact for visitors and clients
    • Coordinating suppliers, contractors, and building management relationships
    • Managing IT support requests and liaising with external providers
    • Supporting finance administration including invoices, expenses, and documentation
  • People & Business Support:

    • Coordinating onboarding and employee administration
    • Supporting staff scheduling and flexible working arrangements
    • Organising team events, social activities, and employee engagement initiatives
    • Providing practical administrative support across the wider business
    • Helping to improve processes and maintain operational efficiency

What We're Looking For

  • Previous experience as an Executive Assistant, Office Manager, Operations Coordinator, or similar
  • Experience supporting senior stakeholders and managing multiple priorities
  • Exceptional organisational skills and attention to detail
  • Strong communication and relationship-building abilities
  • A proactive, solutions-focused approach
  • Ability to remain calm and adaptable in a fast-paced environment
  • Strong Microsoft 365 skills, including Outlook, Word, and Teams
  • Professional, discreet, and highly dependable
