Executive Assistant

Location: Glasgow

Role Type: Contract - 12-months

Work Setup: Onsite - 5 days in the office (9 AM - 5:30 PM (flex))

The Role

Our client is a large multinational firm that provides a range of financial services, including advisory, investment, and asset management solutions. It serves a diverse set of clients worldwide, focusing on strategic planning, market operations, and long-term financial growth.

What you'll do

  • Provide comprehensive administrative support to senior stakeholders and teams within the Glasgow Technology division.
  • Manage complex diaries, coordinate meetings, arrange conference calls, book meeting rooms, and support event logistics.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, itineraries, visas, and expense processing.
  • Support projects, events, and business activities by managing schedules, communications, data, and operational requirements.
  • Act as a key point of contact for internal stakeholders, visitors, and wider teams, ensuring queries are handled professionally and efficiently.
  • Maintain team documentation, support onboarding activities, coordinate workspace requirements, and assist with ad hoc administrative tasks.

What you bring

  • Minimum 5 years' experience working as an Executive Assistant, providing high-level administrative support within a corporate environment.
  • Proven experience supporting senior stakeholders, business functions, or wider teams within large organisations such as financial services, banking, legal, consulting, or similar professional services environments.
  • Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and collaboration tools such as Microsoft Teams and Zoom.
  • Excellent organisational skills with the ability to manage complex diaries, coordinate travel arrangements, prioritise competing demands, and handle confidential information.
  • Confident communicator with the ability to build strong relationships and engage professionally with stakeholders at all levels.
  • Proactive and adaptable approach, with strong attention to detail and the ability to manage changing priorities in a fast-paced environment.
