EA / Project Coordinator – Investment Backed - High Growth Firm
Hybrid - Birmingham
Our client is an investment-backed professional services business going through an accelerated growth programme, which has led to an exciting new role being created within its Projects and Integration function.
Sitting at the heart of the team, this is a varied role combining high-level Executive Assistant support with hands-on project coordination across the acquisition and integration process. Working closely with an inspirational Head of Function and senior project leaders, you will provide the organisation and coordination that keeps multiple workstreams, meetings, stakeholders and deadlines moving.
The role will entail:
- Managing complex diaries and inboxes for senior project leaders
- Arranging meetings, site visits and workshops, including coordinating briefing materials and meeting packs
- Acting as a key point of contact for newly acquired firms throughout the integration process
- Providing secretariat and governance support for integration meetings and steering committees, including preparing agendas, collating papers, recording actions and coordinating follow-up
- Maintaining project trackers, actions, risks, dependencies and key reporting deadlines
- Reporting and data analysis
- Managing highly confidential acquisition and project information and documentation
- Supporting the onboarding and engagement of acquired firms, including coordinating inductions and integration activity
- Supporting the Acquisitions process through maintaining and refining templates, meeting packs, checklists and project documentation
- Liaising with multiple internal and external stakeholders to ensure actions are progressed and information is captured
- Helping to bring structure and organisation to a growing and evolving Projects and Integration function

Applicants must have previous experience supporting senior leaders within a professional services environment, as an Executive Assistant to Senior Leadership team with exposure to projects, change, transformation or integration activity.

You will need excellent organisational and stakeholder management skills, with the ability to coordinate multiple priorities, manage detailed project information and work confidently with senior stakeholders.
This is an excellent opportunity for an accomplished EA who has gained exposure to project work and is looking to develop into a broader project coordination role while retaining the senior-level support responsibilities they already do well.
