About the Role

This is a high-impact Executive Assistant role and a trusted business partnership to a member of the Haleon Executive Team (HET). The role enables the executive to focus on the highest-value priorities by improving decision-making, information flow, planning, and the effective operation of the executive office.

Working closely with the executive’s Leadership Team, functional colleagues, other Executive Assistants and key external stakeholders, you will anticipate needs, resolve complexity and ensure that priorities, meetings, travel, communications and commitments are managed with pace, discretion and sound judgement.

Key Responsibilities

Strategic executive partnership and office leadership:

  • Act as a trusted partner and first point of contact for the HET member, representing them professionally with internal and external stakeholders.
  • Build a strong understanding of Haleon’s strategy, the function’s priorities and the executive’s business cycle, using this context to plan ahead and focus time on the matters that create most value.
  • Run the day-to-day executive office proactively, identifying upcoming requirements, dependencies and risks before they become issues.
  • Exercise sound judgement when handling time-sensitive, confidential or commercially sensitive information, escalating appropriately and maintaining the highest standards of integrity.
  • Partner with the Leadership Team to coordinate priorities, decisions, deliverables and cross-functional activity, helping the function operate as one team.
  • Provide thoughtful challenge and recommend better ways of working where this will improve effectiveness, clarity or pace.

Priority, diary and inbox management:

  • Own a complex and fast-moving diary, prioritising meetings according to importance, business value, urgency and required decision outcomes.
  • Anticipate conflicts and pressure points, offering solutions rather than simply identifying problems, and ensuring the right stakeholders are included at the right time.
  • Manage internal and external scheduling across senior stakeholders, international time zones, and changing business priorities.
  • Triage the executive’s inbox and correspondence where required, highlighting priority items, drafting responses, and ensuring actions are addressed promptly.
  • Maintain appropriate forward planning so that preparation time, travel, key governance dates and critical business milestones are protected.

Meetings, governance and action management:

  • Plan and coordinate Leadership Team meetings, functional forums, town halls, off-sites and other key events, including agenda, attendees, pre-reads, speakers and logistics.
  • Coordinate visitors, catering, and other requirements in line with Haleon policies.
  • Work with Communications, HR and other teams to coordinate accurate, timely communications on behalf of the executive.

Travel and operational delivery:

  • Plan complex domestic and international travel, including itineraries, visas, accommodation, ground transport, agendas, briefing materials and contingency arrangements.
  • Process expenses, invoices and purchase orders accurately and on time, ensuring relevant policies and controls are followed.
  • Coordinate onboarding, movers and leavers across the team, helping new colleagues navigate systems, processes and ways of working.
  • Undertake business projects and ad hoc assignments on behalf of the executive, applying strong project coordination and follow-through.

Digital, AI and process improvement

  • Use Microsoft 365, Copilot and approved AI tools to improve meeting preparation, action tracking, information retrieval and administrative productivity.
  • Identify opportunities to simplify, standardise or automate recurring processes while protecting confidential information and complying with Haleon policies.
  • Design practical ways of working that improve visibility of priorities, deadlines, decisions and ownership across the executive office and Leadership Team.
  • Share effective practices with the EA community and support colleagues in adopting digital and AI-enabled ways of working.

EA community leadership

  • Build strong working relationships with CEO, HET and HET-1 Assistants to align diaries, governance activity and executive interactions.
  • Mentor administrative colleagues through knowledge sharing and development.
  • Coordinate activity through the functional administrative network to deliver larger meetings and events smoothly.

Skills / Experience

  • Substantial Executive Assistant or Senior Personal Assistant experience, including direct support to C-suite or equivalent senior leaders in a large, complex organisation.
  • Demonstrated experience managing executive-level diaries, international travel, senior meetings and confidential information with minimal direction.
  • Strong business and commercial awareness, with the ability to understand strategic priorities and translate them into effective use of executive time.
  • Excellent written and verbal communication.
  • Advanced Microsoft 365 capability across Outlook, Teams, PowerPoint, Word and Excel, together with strong digital confidence and the ability to learn new systems quickly.
  • High standards of accuracy, organisation and attention to detail, including financial administration such as expenses, invoices and purchase orders.
  • Experience supporting an executive team, Board interactions, external stakeholders or leadership activity across multiple countries and time zones.
  • Experience using Microsoft Copilot or other approved AI tools to improve productivity and information management.
  • A track record of leading process improvements, designing efficient ways of working or supporting change and transformation.
  • Familiarity with Workday, Concur, Ariba or other similar systems.
