Freelance Executive Assistant & Operations Coordinator – DrillingCo Ltd

DrillingCo Ltd is a growing specialist drilling contractor working across the South of England, delivering water wells, boreholes and ground source heating projects for private estates, businesses, farms, golf courses and construction clients.

We are looking for a highly organised, proactive Executive Assistant & Operations Coordinator to work closely with the Managing Director and help manage the day-to-day administration and coordination of the business.

This is not simply a diary-management or filing role.

We are looking for someone who can gradually become a trusted right-hand person, take ownership of tasks and make sure things get done without needing constant supervision.

What you'll be doing

  • Managing and prioritising emails and correspondence
  • Organising the Managing Director's diary and appointments
  • Responding to and qualifying new customer enquiries
  • Preparing quotations using established templates
  • Following up outstanding quotations and customer enquiries
  • Scheduling drilling projects and coordinating customers, crews and suppliers
  • Ordering materials and confirming deliveries
  • Chasing suppliers and subcontractors
  • Preparing and organising project documentation
  • Maintaining project folders and company records
  • Preparing RAMS and standard documentation from templates
  • Coordinating invoices, deposits and payment reminders
  • Chasing overdue customer payments
  • Organising accommodation, travel and site logistics
  • Compiling project handover documentation
  • Maintaining equipment, servicing and certification records
  • Helping develop better systems and processes as the company grows

  • Confident using email, spreadsheets and cloud-based systems

Experience in construction, engineering, property, trades, project coordination or operations would be particularly valuable, but is not essential.

Previous experience as an:

  • Executive Assistant
  • Office Manager
  • Project Coordinator
  • Construction Administrator
  • Operations Administrator
  • Contracts Administrator

would be highly relevant.

The opportunity

DrillingCo is expanding, and this position is expected to grow alongside the business.

We are initially looking for someone for approximately 15–20 hours per week, with the potential for increased hours and responsibility as the company develops.

For the right person, there is significant scope for the role to develop into a senior Executive Assistant / Operations position supporting the Managing Director.

πŸ“ The role will be hybrid, with some work carried out in person in the Brighton/Sussex area and some work from home.
