A Rare Opportunity to Support a Board-Level Leader
We are seeking an exceptional Executive Assistant / Personal Assistant to become the trusted right-hand to our Director of Legal Services & Company Secretary.
This is a highly visible and influential position at the heart of a complex organisation, providing direct support to a key Board-level executive while playing an integral role in corporate governance, Board operations, and stakeholder management.
The successful candidate will operate as a true business partner, acting as a central point of coordination across senior leadership, Board members, and external advisers. This role offers significant exposure to strategic decision-making, governance processes, and executive-level engagement.

The Opportunity
Reporting directly to the Director of Legal Services & Company Secretary, you will provide seamless executive support while overseeing key Board and governance administration.
You will be trusted to manage competing priorities, anticipate requirements, exercise sound judgement, and build strong relationships with stakeholders at the highest levels of the organisation.
Key Responsibilities
Executive & Board Support
- Provide proactive, high-level support to the Director of Legal Services & Company Secretary.
- Manage an exceptionally busy and complex diary, balancing multiple priorities and changing demands.
- Coordinate Board, Committee, and Executive meetings, ensuring efficient planning and flawless execution.
- Act as a key liaison between Board members, senior executives, advisers, and external stakeholders.
- Prepare and coordinate meeting agendas, briefing packs, and executive papers.
- Arrange domestic and international travel, including detailed itineraries and logistics.

Governance & Company Secretarial Support
- Coordinate the preparation, production, and secure distribution of Board and Committee papers.
- Support all aspects of Board and Committee administration, including minutes, action tracking, and governance records.
- Maintain statutory registers, governance documentation, and regulatory records.
- Administer Board portal systems and ensure the integrity and confidentiality of Board information.
- Assist with AGM preparation, governance reporting, and Board member onboarding.
- Support compliance activities, regulatory training programmes, and corporate governance processes.
- Manage legal subscriptions, governance resources, and company secretarial documentation.
Stakeholder & Project Coordination
- Build effective relationships with Board members, senior leaders, and external advisers.
- Monitor key actions, deadlines, and governance commitments on behalf of the Director.
- Support strategic projects and cross-functional initiatives as required.
- Work collaboratively with the wider Executive Assistant community to ensure seamless leadership support.

About You
You are a polished, highly credible Executive Assistant who is comfortable operating at Board level and accustomed to handling sensitive and confidential information.
You will bring:
- Significant experience supporting Board Directors, General Counsel, Company Secretaries, CEOs, or Executive Committee members.
- Experience within a PLC, listed company, legal function, or highly regulated corporate environment.
- Strong understanding of corporate governance, Board administration, and company secretarial practices.
- Exceptional diary, meeting, and stakeholder management skills.
- Outstanding written communication and minute-taking abilities.
- Sound judgement, discretion, and professionalism.
- The ability to anticipate needs, solve problems, and work independently.
- Advanced Microsoft Office and Board portal experience.
- Confidence engaging with senior stakeholders both internally and externally.
