Executive Assistant - Sustainable Solutions Group
Location: Bank Street, Canary Wharf
Contract: 3 month rolling
Work Setup: Onsite - 5 days in the office
We are looking for an Executive Assistant to support the Sustainable Solutions Group within CIB, providing high-quality administrative support to a team of bankers at VP to MD level. This is a varied and confidential role requiring strong PA experience, flexibility, and a common-sense approach, with investment banking experience preferred but not essential.

What You'll Do
- Provide client-facing support to internal and external stakeholders, maintaining a professional and responsive service at all times.
- Manage complex executive diaries and end-to-end travel arrangements, including flights, trains, visas, accommodation, ground transportation, itineraries, and short-notice changes in line with business policy.
- Coordinate internal and external meetings, conference calls, interview arrangements, room bookings, and year-end review committee scheduling.
- Oversee business expenses in partnership with the offshore team, including reimbursements, personal expenses, and outstanding amounts, while ensuring accurate use of internal systems such as Concur, Amex, eSource, Travel Portal, iMeet, iMemo, Microsoft Teams, Zoom, OMD, and Cross Border.
- Demonstrate strong organisational awareness by understanding key people, priorities, and the broader political landscape across the business, while acting as an integral partner to the team.
- Deliver general administrative support, including filing, photocopying, stationery, business card ordering, distribution list management, and org chart updates.
- Provide flexible back-up coverage across the CIB assistant network, support new joiner training, and contribute to ad hoc projects with a high degree of integrity, confidentiality, teamwork, and technical proficiency.

What You Bring
- Executive Assistant experience with at least 3 years' exposure, ideally within Investment Banking
- Strong client-handling and relationship-building skills, with the ability to work effectively with bankers, business assistants, front office teams, and senior stakeholders.
- Fully competent in diary management, with sound judgement, the ability to balance competing priorities, and a proactive, organised approach.
- Experience supporting event planning and coordination, including town halls, off-sites, roadshows, skip-level meetings, senior visitors, and speaker engagements.
- Strong technical capability, with awareness of expense systems, cost control initiatives, and the ability to process expenses accurately and in a timely manner in partnership with the Expense Management team.
- Calm, polished, and professional under pressure, with excellent attention to detail, a positive attitude, flexibility, and willingness to work in the office five days per week.
- Proactive team player; takes initiative, communicates well at all levels, understands the culture and politics of Investment Banking
