About Us

At Gridcog, we're on a mission to accelerate investment in the clean energy transition. We're a SaaS start-up of energy nerds building the best project modelling software around, used on everything from co-located solar and storage to microgrids and EV fleets.

Who we're looking for:

We're looking for an exceptional Executive Assistant to be the right hand to our Chief Commercial Officer and a force multiplier for the whole commercial team, which includes our Sales, Marketing, Account Management and Industry teams. You'll be the person who makes sure nothing drops, the CCO's time is spent where it matters most, the right things move fast and the commercial engine keeps running smoothly as we scale.

You're highly organised, proactive and calm under pressure. You take ownership, get things done, and handle sensitive information with total discretion. This role puts you at the centre of Gridcog's commercial world, trusted with real responsibility and counted on to deliver.

What You'll Do as an Executive Assistant to CCO:

Right hand to the CCO

  • Own the CCO's calendar and inbox: triage, prioritise, respond on their behalf where you can, and flag clearly what only they can do.
  • Protect their focus time and keep them ahead of what's coming.
  • Organise travel, events and logistics across our four locations and time zones.
  • Prepare meetings end to end: agendas, pre-reads, briefing notes, follow-ups and action tracking.
  • Help keep deals moving: prepare and coordinate customer proposals and contracts.
  • Pull together data requests, complete procurement and vendor documentation, and draft customer and prospect communications.
  • Work closely with the CCO to build and embed processes that enhance commercial team performance and effectiveness.

  • Handle confidential commercial, customer and investor information with complete discretion.
  • Strong judgement where you can use context and previous situations to make the right call when things are ambiguous.

  • Spot the gaps: streamline processes, remove friction, and build lightweight systems that scale.
  • Be a sounding board to the CCO and leadership team: challenge ideas, give honest feedback, and own projects end to end.

Requirements

To be successful in this role you will have:

  • A strong track record as an Executive Assistant or in operations in a fast-paced environment, ideally in a fast growing tech startup.
  • Exceptional organisation and attention to detail, with the ability to juggle competing priorities without dropping the ball.
  • Clear, direct and kind communication, with a proactive, solutions-oriented mindset.
  • Sound judgement and real discretion when handling confidential and sensitive information.
  • Fluent across Google Workspace, Slack, Notion, and our CRM and contract tools, and quick to master new ones. You improve the systems you touch rather than just working within them, spotting friction and building the fix.
  • Comfort working with asynchronous communications across time zones as part of a distributed team.

We'd also love it if you have:

  • Experience supporting a C-level executive.
  • Experience as an early or first Executive assistant/operations hire in a fast growing startup or scaleup.
  • Experience using AI tools to improve processes and productivity.
  • Familiarity with commercial contracts and proposal drafting.
  • Leading and delivering team projects.
  • Fluency in another European language, especially Spanish and/or German.
  • A passion for clean energy and sustainability.
