What we're looking for
We’re looking for a highly organised & proactive Executive Assistant to both our CCO & VP CX, Abs Sapru & Rebe Tristan. You will be the backbone of Omnea’s executive office, ensuring efficiency and seamless operations. Your focus will be on managing key personal & professional priorities, and providing administrative and strategic support—allowing our execs to focus on scaling the business through the next phase of growth!
You’ll be joining us at a pivotal time as we’re scaling fast and building the category-defining agentic operating system for procurement. And we are looking for the best Executive Assistant out there to help us turn procurement into a true competitive advantage!
What Can You Expect?
As the backbone of Omnea’s executive office, you’ll proactively coordinate, manage and keep track of our CCO & VPCX’s schedules, projects and commitments. You will work closely with the Omnea leadership team and act as the primary point of contact for key stakeholders on all matters related to our execs. You are someone who acts like an owner, can craft at speed and loves working in a fast-paced environment with significant impact.
- Provide strategic and executive support, by managing our executives' complex calendars, ensuring seamless scheduling across multiple time zones.
- Own email and communication filtering as well as prioritising, drafting, and responding as necessary.
- Act as a gatekeeper, ensuring our executives’ time is spent on high-impact activities. You will manage conflicting priorities and prioritise different demands, you’ll focus on solutions, and are comfortable navigating change and removing blockers.
- Plan, schedule and coordinate internal and external meetings and ensure agendas are well prepped, action items tracked, minutes taken and follow-ups done in a timely manner. You’ll also assist with board materials, investor updates, and briefing notes.
- Organise and book all travel, including flights, hotels, transfers and visas. You’ll prepare detailed travel itineraries and handle last-minute changes seamlessly.
- Own all operational and administrative tasks, such as expenses, invoices, and budget tracking related to our executives' activities.
- Act as the first point of contact for all key stakeholders, including prospects and customers on behalf of our executives. You’ll manage confidential information with the highest level of discretion. You’ll also proactively solve problems and anticipate potential issues before they arise.
- Own systems & processes that improve productivity, such as identifying and implementing tools or processes that reduce admin workload and help outsource and delegate non-essential tasks effectively.

About You
- 3-5 years of work experience, ideally as an EA, PA, Chief of Staff or Founders Associate in a high-growth startup or tech environment.
- Ability to excel in something incredibly challenging that demonstrates your ability to work hard under pressure in a fast-paced, stressful environment. For example, you may be a career changer who did well in a different sector or role but similarly intense & difficult.
- London-based, with 3 days in the office per week and flexibility for occasional travels with the CEO in the future.
- Highly organised, with meticulous attention to detail, and exceptional at multitasking. Flexibility to provide support during off-hours in an environment with increasingly different timezones (Europe & US).
- Tech-savvy, with experience using modern productivity tools (e.g., Slack, Notion, Google Suite). Ability to provide structure within the entrepreneurial and dynamic environment of a company in hyper-scale.
- Ruthlessly prioritise, are highly organised and focused on outputs > inputs. Proactive, a strategic thinker, efficient & autonomous and don’t compromise on quality (i.e. you have taste).
- Outstanding communicator; verbal, written, and when presenting. Exceptionally articulate, concise and clear in all forms of communication and have the ability to build rapport, influence people & drive change, whether it’s with a distinguished exec, technical expert or a junior operator. Handle confidential matters with discretion and professionalism.
- Outcomes-focused, and balance the ability to think strategically with a heavy bias to action, always focused on “so what’s the next step?”
- Proactive & crave accountability, proactively pushing initiatives forward and making the best use of the resources available to you.
- Just a really good human. Empathetic and reliable. Build trust with people you work with and are highly collaborative. Minimal ego, seek feedback to continuously hone your craft and try to bring out the best in everyone around you.
