As the business continues to scale across the United Kingdom and international markets, the Executive Assistant will play a critical role in supporting the Chief Executive Officer and Executive Leadership Team, ensuring priorities are executed effectively, communication is managed professionally and strategic initiatives are delivered with pace and precision.

The Opportunity

We are seeking an exceptional Executive Assistant to support the Chief Executive Officer during a period of significant growth and organisational expansion. This is not a traditional administrative role. The successful candidate will operate at the centre of the organisation, acting as a trusted partner to the CEO while supporting executive decision making, operational execution, strategic planning, business development and stakeholder management.

The role requires an individual with exceptional organisational capability, outstanding written communication skills, strong commercial awareness and the ability to manage multiple priorities within a fast paced and demanding environment. The successful candidate will regularly engage with senior executives, healthcare leaders, investors, pharmaceutical partners, researchers and external stakeholders, requiring the highest levels of professionalism, discretion and judgement.

Key Responsibilities

Executive Support

  • Provide direct support to the Chief Executive Officer across all areas of responsibility.
  • Manage complex executive schedules, meetings, travel arrangements and stakeholder engagements.
  • Ensure the CEO is appropriately briefed and prepared for meetings, presentations, conferences and strategic discussions.
  • Act as a trusted point of coordination between the CEO and internal or external stakeholders.
  • Manage confidential information with absolute discretion and professionalism.
  • Anticipate issues, identify priorities and proactively resolve challenges before escalation is required.
  • Coordinate strategic priorities across the Executive Leadership Team.
  • Track organisational objectives, key initiatives and critical business activities.
  • Monitor progress against agreed actions and ensure accountability across stakeholders.
  • Support execution of strategic projects and business initiatives.
  • Assist with planning and coordination of leadership meetings, workshops and organisational reviews.
  • Drive follow up activity and ensure delivery against agreed commitments and deadlines.

Business Development and Growth

  • Support the Chief Executive Officer in identifying, developing and pursuing new commercial opportunities.
  • Coordinate business development activities across healthcare, life sciences, pharmaceutical and technology sectors.
  • Support the preparation of commercial proposals, partnership presentations, tender responses and client materials.
  • Track prospective opportunities, commercial discussions and growth initiatives across the organisation.
  • Support preparation for investor, client and partnership meetings.
  • Conduct research on prospective clients, markets, competitors and strategic opportunities.
  • Support the development of materials used for commercial negotiations and partnership discussions.
  • Assist with mobilisation and coordination of newly secured opportunities and strategic partnerships.
  • Work closely with leadership teams to ensure commercial opportunities are progressed effectively.
  • Support achievement of annual business development, partnership and growth objectives.

Board, Investor and Executive Office Support

  • Prepare board papers, executive reports, briefing materials and supporting documentation.
  • Coordinate board meetings, leadership meetings and governance activities.
  • Support preparation of investor presentations, shareholder communications and strategic updates.
  • Ensure board and executive materials are produced to a consistently high standard.
  • Support governance, reporting and executive office activities across the organisation.

Executive Communications

  • Draft high quality correspondence, presentations, reports and briefing papers on behalf of the CEO.
  • Produce clear, concise and professional written outputs for internal and external audiences.
  • Support preparation of speeches, presentations, proposals and stakeholder communications.
  • Review and refine documents to ensure accuracy, consistency and professionalism.

Reporting and Analysis

  • Conduct research and analysis to support executive decision making.
  • Develop reports, presentations and management information for leadership review.
  • Support operational, commercial and strategic reporting activities.
  • Track business performance metrics, growth initiatives and organisational priorities.

Stakeholder Management

  • Build effective relationships with senior stakeholders across healthcare, life sciences, academia, government and industry.
  • Coordinate communication across internal teams and external partners.
  • Ensure timely follow up and completion of actions arising from meetings and discussions.
  • Represent the CEO professionally when engaging with stakeholders where appropriate.

Operational Excellence

  • Identify opportunities to improve organisational effectiveness and executive productivity.
  • Support continuous improvement of processes, reporting and operational coordination.
  • Ensure high standards of organisation, accuracy and execution across all responsibilities.
  • Act as a problem solver and trusted support resource across the executive team.
  • Contribute to organisational efficiency, growth and scalability.

What We Are Looking For

  • Master's degree with Distinction in STEM, Mathematics, Economics, English, Business or a related discipline.
  • Degree and postgraduate qualifications from a leading university with a strong academic record. Qualifications from Russell Group or Top 100 global universities are desirable.
  • Minimum 5 years' experience supporting Chief Executives, Founders, Board Directors, C Suite Executives or Senior Leadership Teams.
  • Exceptional written communication skills with the ability to draft executive level correspondence, reports, proposals and presentations.
  • Outstanding verbal communication and stakeholder management capability.
  • Strong analytical, research and critical thinking skills.
  • Advanced proficiency in Microsoft Office, including PowerPoint, Excel, Word and Outlook.
  • Demonstrated ability to develop executive presentations, board papers and investor materials.
  • Exceptional organisational skills with the ability to manage multiple competing priorities.
  • Strong commercial awareness and business acumen.
  • Experience supporting business development, client engagement, partnership development or commercial initiatives preferred.
  • Ability to identify opportunities, coordinate stakeholders and support commercial growth activities.
  • High levels of professionalism, discretion and judgement.
  • Proven ability to operate effectively within fast paced, high growth environments.
  • Strong attention to detail and commitment to quality.
  • Experience supporting investor backed, healthcare, consulting, technology or life sciences organisations preferred.

Working Environment

This is a full time office based role located in Canary Wharf, London.
The successful candidate will work directly with the Chief Executive Officer and Executive Leadership Team in a fast paced, ambitious and high performance environment. The role requires regular interaction with senior stakeholders across healthcare, life sciences, government, academia and industry.
Due to the nature of the position, a high degree of flexibility, responsiveness and professionalism is required. The successful candidate will be expected to take ownership of responsibilities, operate with minimal supervision and consistently deliver work of an exceptional standard.
