Executive Assistant to CEO (maternity cover, 9 months)
Location: Office based, Bearsden HQ

Start Date: November / December 2026
Salary: £35,000 - £42,000 (DOE)

- Biometric wearables, such as our Reebok Smart Ring, which tracks sleep, recovery, stress, HRV and performance.
- A digital wellness platform for fitness, named the Reebok Fitness App, which includes recovery and health tracking powered by AI-driven personalization.
- A health intelligence platform: BiotrackOS, which unifies wearable and biometric data from various devices and enables clinical, insurance and population health analytics.
- Our US-based TruFusion gym chain. A boutique fitness and wellness platform with immersive training experiences, focused on community-driven wellness.
The Role
The ideal candidate will be a highly organized and proactive individual with a strong background in supporting executives at the C-suite or senior management level. This candidate excels in managing complex calendars, coordinating travel arrangements, and preparing reports, presentations, and communications. Adept at handling confidential information, they demonstrate strong discretion, attention to detail, and problem-solving skills while being able to think on their feet.

You will work directly with our CEO in supporting him daily with his work-life balance and the ideal candidate must be adaptable based on the entrepreneurial style of business we operate in.
Responsibilities
- Diary and inbox management
- Making complex travel arrangements including booking trips to both the UK, US, and UAE
- Provide ad hoc administrative and operational support to other Executive Team members, as required, alongside the primary support provided to the CEO.
- Creating, reviewing and sending a variety of documents across our group of businesses.
- Arranging meetings with the relevant parties upon request.
- Communication with internal and external parties which will include both financial and legal documents.
- Demonstrate professional persistence to help our CEO complete tasks, manage and attend meetings and meet deadlines.
- Organizing and preparing for Shareholder and Board meetings.
- Provide general ad hoc support as required, including assisting the Office Manager with occasional catering requirements and arrangements.
- Ad hoc personal duties including but not limited to assisting with family commitments, making trips to a nearby home address upon request and helping to arrange/organize any family occasions i.e. gifts, restaurant bookings, reservations.
- Collating and gathering expenses, working closely with our finance team to ensure all records are kept up to date.
- Working closely with the Executive Team to manage meetings and diaries in line with our CEO, along with monitoring their annual leave and expense approvals.
Candidate Profile
Experience & Qualifications

- 2-3 years’ experience supporting a senior executive, ideally at C-Suite level.
- Previous experience in an EA, personal assistant or similar support role.
- Degree and/or higher-level qualification in English, business or communications is desirable.
Skills & Competencies
- Excellent written and verbal communication skills, with confidence liaising across departments and with external contacts.
- Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines effectively.
- Highly trustworthy and reliable, with the ability to handle confidential and sensitive information appropriately.
- Adaptable and able to thrive in a fast-paced environment, responding calmly to changing priorities and the CEO’s requirements.
- Strong attention to detail and a proactive, solutions-oriented approach.
- Strong written and verbal English skills.
- Confident presentation skills, including the ability to present information clearly and professionally.
- Proficient in Microsoft Office and other relevant business systems.
