About Us

The Opportunity
This is not a diary-management job.
We're looking for someone to be the CEO's right hand — the person who protects his time, guards his focus, and makes sure the things that need to get done actually get done. You'll be the last line of defence between him and the hundred small things that would otherwise eat his week alive.
You'll need to be comfortable saying no on his behalf. You'll need to be comfortable chasing him when he's the bottleneck. The right person can hold a CEO accountable as easily as they can hold a calendar together.
Beyond that, you'll be the operational glue across the business — working with our CFO and accounts team on financials, our COO on sales admin, and across the company on contracts, legal, and office management.
What You'll Be Doing
Defending the CEO's time
- Own and ruthlessly protect the diary — decide what gets an hour, what gets fifteen minutes, and what never reaches him at all
- Manage inbound from investors, partners, clients, auditors, and the team
- Draft and send correspondence on his behalf and represent the CEO's office professionally
Making sure things get done
- Track every commitment, action, and deadline the CEO signs up to — and chase them to completion, including chasing him
- Be the person who remembers what was promised three weeks ago and makes sure it lands
- Prepare briefing notes, research, meeting packs, agendas, and board materials so he never walks into a room cold
Travel and logistics
- Build complex multi-stop UK and occasional international itineraries — flights, hotels, trains, transfers, and contingency plans for when it all goes wrong at 6am
- Accompany the CEO regularly to client meetings, investor sessions, conferences, and industry events
- Drive, prep, take notes, and make sure he's ready for every meeting

- Raise and chase invoices, process expenses and receipts, reconcile company card spend
- Manage supplier accounts and subscriptions
- Help pull together numbers for board reporting, investor updates, and grant claims
Sales administration — with our COO
- Maintain CRM hygiene and pipeline reporting
- Prepare proposals, quotes, and order forms
- Process new client paperwork so nothing stalls between a deal closing and a client onboarding
Contracts and legal
- Own the contract repository — client agreements, supplier contracts, NDAs, DPAs, partner agreements
- Manage e-signature workflows and chase counterparties for turnaround
- Track renewal dates and notice periods so nothing is ever missed
- Liaise with external legal advisors when needed
Office and company operations
- Run the Sunderland office day to day — suppliers, facilities, equipment, deliveries
- Coordinate team events, all-hands, client visits, and the monthly team meal
- Support onboarding logistics for new starters
Handling the confidential
- Board materials, investor updates, commercial terms, financials, and people matters — treated with complete discretion
What We're Looking For
Above all else: diligence, hard work, and dependability. This role lives or dies on whether the CEO can hand you something and forget about it, confident it will be done properly and on time.
Firm requirements
- Full UK driving licence and your own car, dedicated solely to your use at all times — not shared with a partner or family member. You'll be driving at short notice. Parking is paid for.
- Local to our Sunderland office, or within comfortable commutable distance — this is an in-person role, including early starts and occasional late finishes
- Proven experience supporting a senior leader — ideally a founder, CEO, or executive in a fast-moving environment
- Willingness to travel regularly, including overnight stays and occasional international trips
You'll also need
- Exceptional organisation and the ability to hold a dozen moving parts in your head without dropping any
- Excellent written English — you'll be drafting in the CEO's name and it needs to sound right
- The confidence to push back, say no, and chase up the chain without flinching
- Complete discretion with confidential and commercially sensitive information
- Comfort with numbers, contracts, and detail-heavy admin — and genuine satisfaction in bringing order to things
- Strong working knowledge of Google Workspace or Microsoft 365

- Startup, scale-up, or tech environment experience
- Any exposure to cybersecurity, compliance, or GRC — not essential, we'll teach you
