The purpose of the role is to provide comprehensive and proactive organisational and administrative support to the Chief Financial Officer and ensuring effective task delivery as a long-term collaborative partner. The post-holder will also be required to provide organisational support to the International HR Director when required.
The Executive Assistant will be required to operate independently, proactively and flexibly; supporting the CFO in the delivery of their key responsibilities and the International HR Director in providing organisational management support.
They will be responsible for providing a range of tasks and projects for the CFO whilst being responsible for maintaining high standards of professionalism, efficiency, personal communication, discretion, and independent judgment. In working with internal and external contacts, including stakeholders at TwiningsOvo and Associated British Foods, the Executive Assistant deals with a wide range of deliverables, sometimes under tight deadlines and pressures.
This role would suit someone who is a self-starter: happy to take the initiative, work under pressure and anticipate the CFO and stakeholder needs in order to make independent decisions when necessary. The post-holder must be capable of challenging the status quo and be willing to conduct robust conversations in order to achieve the desired outcomes.
Key Responsibilities
- Effective and proactive diary and inbox management
- Manages the CFO’s and International HR Director’s calendars to prioritize and resolve conflicts and to ensure all commitments are met.
- Prepares responses, correspondence, meeting materials, schedules, and other forms of communications
- Submits CFO’s and International HR Director’s expenses
- Arranges frequent international travel itineraries and obtains necessary visas when required
- Organises regular meetings, both UK and internationally
- Supports the CFO in required tasks related to Trademark activity
- Assist the CFO in coordinating departmental activities, including the critical group financial planning timetable
- Maintains the permanent records in compliance with the retention policy and according to the practices established by the CFO
- Reconciles, processes, reviews, maintains, and submits as required the following: Supplier set-ups, Invoices, Budget Requests, Purchase Orders, Contracts, and Expense Reports.
- Supports and coordinates Finance Workshops and International HR conferences and events, including travel and logistics, prepping of presentations and minute taking if required.
- Performs standard daily tasks such as answering telephones, filing and booking meeting rooms.
- Undertakes special assignments or projects on a wide variety of responsibilities as assigned by the CFO
- On occasion, support the Group Finance Team with administrative tasks

Skills, Knowledge and Expertise
