Role Overview
We are seeking a highly organised, proactive, and commercially minded Executive Assistant to Founder & Operations Director to provide dedicated support to the Founder while acting as a key communication bridge between the Founder and Operations Director.
This role is suited to someone who thrives in a fast-paced, growing eCommerce environment, has excellent organisational skills, strong attention to detail, and the ability to manage information, priorities, and reporting effectively.
The successful candidate will help the Founder stay focused on strategic priorities by ensuring clear communication, effective follow-up, and strong alignment between business objectives and operational execution. This role requires someone who can bring structure, visibility, and accountability across the organisation.
Key Responsibilities
Executive Support to Founder
- Provide high-level executive support to the Founder, helping manage priorities, decisions, and key business activities.
- Coordinate domestic and international travel arrangements, including flight bookings, hotel reservations, transportation, and detailed travel itineraries.
- Organise business trips, meetings, events, and schedules to ensure smooth execution.
- Support the planning and coordination of company events, leadership meetings, and important occasions.
- Provide practical personal support where required to help the Founder manage time effectively, including coordinating family-related schedules such as childcare arrangements, school pickups, or appointments when needed.
- Prepare meeting materials, reports, presentations, and business updates.
- Track important decisions, actions, and deadlines to ensure timely completion.
- Proactively identify upcoming priorities and ensure the Founder has the necessary information and preparation.
- Manage confidential information with discretion and professionalism.
- Act as a trusted support partner, helping improve the Founder’s efficiency and effectiveness.

Founder & Operations Director Coordination
- Act as the key communication link between the Founder and Operations Director.
- Ensure business priorities, strategic decisions, and operational plans are clearly communicated and aligned.
- Monitor progress on key initiatives and provide updates to the Founder.
- Support effective collaboration between leadership and operational teams.
- Maintain visibility of important business activities and ensure accountability.
Data Reporting & Business Insights
- Work closely with the Data Team to ensure accurate, timely, and relevant business reporting.
- Coordinate the preparation of dashboards, performance reports, and management updates.
- Ensure reporting requirements from the Founder and Operations Director are communicated effectively to the Data Team.
- Maintain accuracy and consistency of business information used for decision-making.
Business Priorities & Project Management
- Support the Founder in managing strategic priorities and business improvement initiatives.
- Track progress of key projects, deadlines, and action plans.
- Coordinate information across teams to ensure effective execution.
- Prepare project updates and follow-up reports.
- Support planning, research, and implementation of new initiatives.
- Ensure important tasks are monitored through to completion.

Skills & Experience Required
Essential:
- Previous experience as an Executive Assistant, Personal Assistant, Business Coordinator, Operations Assistant, or similar role.
- Strong organisational and time-management skills.
- Exceptional attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong communication skills with the ability to work with senior stakeholders.
- Experience preparing reports, analysing data, and managing information.
- Strong Excel / Google Sheets skills and confidence working with numbers.
- Ability to anticipate needs and proactively solve problems.
- High level of professionalism, discretion, and reliability.
Desirable:
- Experience supporting a founder, CEO, director, or senior leadership team.
- Experience within eCommerce, retail, technology, or a high-growth business.
- Experience with business reporting, dashboards, and performance tracking.
- Understanding of operational processes and project management.
