Role Overview
This is an all-encompassing and exciting role that will provide comprehensive and proactive administrative support to the General Manager and the wider BizTech (IT) team within the UK and internationally. You will also have line management responsibility for 2 administrators. This is a 12 month fixed term contract.
You will be required to operate independently, proactively and flexibly as the role will involve more than the normal predictable administrative duties. Pressure periods will vary and at times it will be necessary to work flexibly to support the General Manager when they are working in international locations along with supporting Biztech managers who work internationally. You will have demonstrable experience of working with senior level management in a fast-moving organisation and who has been involved in supporting change management. This role will also at times provide administrative support to our global transformation project.

The role will necessitate occasional travel within the UK. This role will have a hybrid working element to it; however, you will also be required to be onsite at our head office in Andover, Hampshire when needed.
Key Responsibilities
- Effective and proactive diary management for the General Manager, up to a year in advance, including many overseas elements.
- Line management for 2 direct reports.
- Arrange meetings within and outside the UK, varying from 1:1s to international meetings, liaising within and outside the Company to ensure relevant attendance.
- Manage and make decisions on complex travel arrangements, accommodation, venue and catering bookings.
- Maintain an ambassadorial approach as a representative of the Company.
- Screen external enquiries and meeting requests, prioritise, re-direct and ensure only relevant enquiries are directed appropriately.
- Manage and screen internal enquiries and meeting requests, ensuring messages are prioritised and passed on timely and appropriately and meetings arranged as necessary.
- Prepare presentations; collect, collate and include all relevant information and ensure accurate and professional presentation.
- Manage and prioritise paper and electronic correspondence. Draft letters and e-mails.
- Manage the holiday, absence and training records.
- General administrative support to Biztech and Project Optimus.
- Purchase to Pay process.
- Raising orders using the SAP/ECC Systems.
- Organising Team Off sites/Team Building events.
- Organising the Annual Biztech International Conference.
- Provide support for the BizTech Team, this will include:
- Hotel bookings
- Flights
- Transport
- Passport and visas requirements
- Sourcing meeting rooms
- Hospitality bookings
- Provide support for international visitors including all travel arrangements, assistance with travel documentation, agendas etc.

Skills, Knowledge, and Expertise
- Co-ordination of multi-task e.g conference organising
- Experience working with colleagues across international business units
- Significant Secretarial/EA work experience
- Excellent interpersonal and communication skills

- MS Office – good Word, Powerpoint, and Excel
