Weatherden is a physician-led clinical development partner supporting biotech, pharma, and investors to develop medicines in the right direction. We focus on reducing technical, strategic, and execution risk across the full development pathway, from translational strategy and IND readiness through to First-in-Human, clinical proof-of-concept, and pivotal studies.
With over 200 projects delivered, more than 500 clinical trials supported, and experience across numerous therapeutic modalities, our team combines deep clinical, regulatory, statistical and operational expertise. We are London headquartered and composed predominantly of MD/PhD qualified team members and senior industry leaders with decades of cumulative industry experience.
The Opportunity
As Executive Assistant, you will provide high-level, proactive support to our the Chairman of the Board, acting as a right hand and helping them make the most of their time.
Your duties will include:
- Provide comprehensive executive support to senior leadership, anticipating needs and staying one step ahead.
- Manage busy and often fast-changing diaries, prioritising competing demands, resolving conflicts and keeping everything running smoothly.
- Arrange internal and external meetings, plan and book travel, including complex itineraries.
- Assist with the planning and execution of board-level meetings.
- Prepare agendas, briefing packs and documents for meetings, and take and distribute minutes.
- Track actions and decisions from meetings, following up to make sure deadlines are met and things get done.
- Act as a trusted gatekeeper, screening and managing incoming calls, emails and correspondence.
- Facilitate communication between leadership, the wider team and internal/external stakeholders, building strong relationships with board members, clients and partners.
- Draft and edit emails, letters and other communications on behalf of leadership.
- Organise and maintain files and documents for leadership.
- Manage expenses and ensure they are submitted in line with company process and policy.
- Handle confidential and sensitive information with complete discretion.
- Look for ways to improve and streamline how things are done.

What you'll need to succeed
We'd love to hear from experienced Executive Assistants who have supported senior executives, ideally within a small or high-growth company. We're equally keen to hear from graduates and early-career candidates who are ready to step into a fast-paced role and learn quickly. Whatever your background, you'll be highly organised, unflappable under pressure and confident (or keen to build confidence) managing demanding diaries.
Every leader works differently, so you'll need to quickly learn individual preferences and working styles, adapt to them and know when to step in without being asked. You'll also have the confidence to manage upwards, tactfully protecting time and asking the right questions when priorities clash. Emotional intelligence, good judgement and a sense of humour will serve you well.

You'll have excellent written English and a sharp eye for detail, as much of what you produce will go out on behalf of leadership. When the unexpected happens, you'll be resourceful and calm, finding solutions rather than problems. If you're earlier in your career, we'd love to hear how you've shown these qualities through your studies, work experience, volunteering or extracurricular roles.
We are a fast-growing company with lots of variety and changing priorities. A flexible mindset and the ability to drive action and see things through will be key.
We take pride in the diversity of our team, and the ability to flex to different characters and situations will be important.
Strong IT skills are essential, including Microsoft 365 (Outlook, Teams, Word, Excel and PowerPoint), and you'll be quick to pick up new systems. You'll also be comfortable using AI tools to work more efficiently, for example to draft correspondence, summarise documents or prepare meeting materials, while applying good judgement to check accuracy and protect confidential information.
We love science. It would be great if you had an interest in it, but qualifications are not required!
Location and working pattern
This role is based in our Holborn office, five days a week. Being on site is key to the role, as you'll be at the heart of the office and on hand to support leadership as priorities change throughout the day.
