We are an ambitious, fast moving business with exciting plans for continued growth. As our business evolves, we are looking for an exceptional Executive Assistant who will become a trusted partner to the Director, helping to keep the business organised, projects on track and opportunities moving forward.

Job description

This is far more than a traditional Executive Assistant role. You'll become the organisational engine behind the Director, helping bring structure, clarity and momentum to a busy and varied workload. You'll manage competing priorities, coordinate projects, oversee administration and create the time and space needed for the Director to focus on growing the business.

No two days will be the same. One day you might be coordinating a major supplier meeting, managing project timelines or preparing board papers. The next you could be organising travel, following up on key actions, liaising with sporting partners or ensuring deadlines across multiple departments stay on track.

You'll quickly become someone the wider team relies upon to keep communication flowing, priorities aligned and projects progressing.

Responsibilities

Responsibilities are likely to include:

  • Managing the Director's diary, meetings, travel and priorities.
  • Acting as the first point of contact for internal and external stakeholders.
  • Coordinating business projects from planning through to completion.
  • Tracking actions, deadlines and deliverables across multiple projects.
  • Preparing presentations, reports, agendas and meeting papers.
  • Taking ownership of meeting actions and ensuring follow up is completed.
  • Supporting supplier, customer and partner relationships.
  • Identifying ways to improve systems, processes and overall efficiency.
  • Managing confidential information with complete discretion.
  • Supporting company events, exhibitions and key business activities.
  • Providing additional operational support wherever needed to help the business succeed.

Person Specification

We're looking for someone who naturally enjoys bringing order to busy environments.

You'll be proactive rather than reactive, spotting problems before they arise and finding solutions before anyone else notices. You're highly organised, love creating efficient ways of working and take genuine satisfaction from helping others perform at their best.

You'll be comfortable juggling multiple priorities, remaining calm under pressure and adapting quickly as plans change.

Most importantly, you'll enjoy being the person who keeps everything running behind the scenes.

Qualifications/Skills

Mandatory skills:

  • Previous experience as an Executive Assistant, Personal Assistant or in a senior business support role.
  • Outstanding organisational and time management skills.
  • Excellent written and verbal communication.
  • Strong project coordination skills with exceptional attention to detail.
  • The confidence to work independently and make informed decisions.
  • Excellent IT skills including Microsoft Office and online collaboration tools.
  • A positive, proactive attitude with a genuine willingness to help.
  • Drive and ambition to grow the company and themselves.
  • The ability to build trusted relationships across all levels of the business.
  • Complete professionalism and discretion when handling confidential information.
