As we enter our next phase of growth, we're creating a new role to support our Founders across the business and their wider interests.

The Opportunity

This is far more than a traditional Executive Assistant role. You'll become a trusted extension of the Founders, bringing structure, organisation and accountability to a fast-moving, entrepreneurial environment. You'll keep priorities on track so the Founders can spend more time on strategy, customers and leadership.

No two days will be the same. Information will sometimes arrive incomplete or unclear, so we need someone who can fill in the gaps, make a sensible call and keep things moving.

What You'll Do

Executive Support

  • Proactively manage the Founders' diaries, inboxes and priorities, coordinating meetings across locations and time zones
  • Prepare agendas, briefing notes, reports and presentations, and take clear, professional minutes
  • Maintain action logs and follow up until actions are completed
  • Draft professional correspondence on the Founders' behalf
  • Act as a trusted gatekeeper and first point of contact

Business Operations and Administration

  • Track projects, deadlines and deliverables, keeping momentum with internal teams and external partners
  • Maintain business records, contracts, filing systems and key renewal dates
  • Support recruitment coordination, onboarding, HR and compliance administration
  • Support finance administration, including expenses, card reconciliations and invoice approvals
  • Act as a link between the Founders and external advisers, gathering information and keeping deadlines on track
  • Help improve internal systems, processes and ways of working

Wider Business Interests

  • Provide administrative and coordination support across the Founders' wider business interests, including organising contractors and suppliers, managing quotes and tracking compliance dates

Travel and Personal Support

  • Organise UK and international travel, always looking for the best value and most efficient options
  • Prepare itineraries and manage last-minute changes
  • Arrange reservations, appointments and occasional events, plus occasional personal administrative support

  • Exceptionally organised and proactive, with excellent attention to detail
  • Thinks ahead and anticipates what's needed before being asked
  • Highly trustworthy and discreet, with a strong understanding of confidentiality
  • Takes ownership and follows things through, firmly and politely
  • Calm under pressure, with clear and professional communication
  • Has sound judgement, knows when to make the call and when to escalate, and brings a recommendation, not just a problem
  • Commercially minded, treating the business's money as if it were their own
  • Tech-savvy and confident using AI tools to work smarter
  • Comfortable with some flexibility outside standard hours when travel or urgent matters need it

Essential

  • Experience as an Executive Assistant, PA, Office Manager or similar, supporting directors, senior leaders or business owners
  • Excellent diary, inbox and time management
  • Excellent written and verbal communication
  • Strong stakeholder management, including external advisers and suppliers
  • Confident with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and AI tools such as ChatGPT, Claude or Copilot
  • Full UK driving licence and willingness to travel

Desirable

  • Experience supporting founders or entrepreneurs in a privately owned business
  • Experience coordinating property maintenance, compliance or contractors
  • A background in luxury, hospitality or premium services
  • Experience with international administration or complex international travel
  • A second language

Salary: £40,000–£45,000 per annum, depending on experience

Hours: Full-time

Reporting to: Founders
