Personal Assistant to Director of Legal Services & Company Secretary

Location: Fitzrovia, London
Salary: Competitive + Excellent Benefits
Full time office based

An exceptional opportunity has arisen for an experienced Personal Assistant / Executive Assistant to support a senior Legal Director and Company Secretary within a large, complex corporate environment.

This is a highly visible role requiring outstanding organisational skills, discretion, and the ability to manage multiple priorities while supporting board-level governance activities. The successful candidate will act as a trusted right-hand support, ensuring the smooth running of executive, company secretarial and governance processes.

The Role

Working closely with the Director of Legal Services & Company Secretary, you will provide comprehensive EA support while playing a key role in Board administration, governance, regulatory compliance and stakeholder management.

Key Responsibilities

Board & Governance Support

  • Coordinate the production and distribution of Board and Committee papers.
  • Manage the preparation, signing and secure storage of Board and Committee minutes.
  • Administer board portal systems and manage user access permissions.
  • Support AGM preparation and senior stakeholder induction documentation.
  • Maintain statutory and regulatory records and oversee annual renewals.
  • Manage legal subscriptions and knowledge resources.
  • Maintain custody of corporate governance documentation and company seal processes.
  • Support compliance and competition law procedures, including training administration.

Executive Assistant Support

  • Manage a complex and frequently changing executive diary.
  • Coordinate meetings with senior stakeholders, external advisers, government officials and industry bodies.
  • Arrange domestic and international travel, including flights, accommodation, visas and itinerary management.
  • Process expenses, invoices and budget-related administration.
  • Organise leadership meetings, conferences and off-site events.
  • Provide project coordination support across key business initiatives.
  • Screen and prioritise emails, correspondence and telephone calls.
  • Work closely with other Executive Assistants to ensure seamless support across the wider leadership team.

About You

We are seeking an experienced EA who has previously supported senior executives within a corporate, legal, governance or regulated environment. You will have:

  • Significant experience supporting Board-level or Executive-level leaders.
  • Strong legal secretarial or company secretarial knowledge.
  • Experience working within a large corporate or PLC environment.
  • Advanced Microsoft Office skills.
  • Previous exposure to governance, compliance and board administration processes.
  • Excellent written and verbal communication skills.
  • Outstanding organisational and diary management abilities.
  • The ability to handle highly confidential information with discretion and professionalism.
  • Strong stakeholder management skills with the confidence to engage with senior executives and external partners.
